We are a growing trading company headquartered in Dubai, UAE, supplying engineering components and materials to clients in the manufacturing and industrial sectors. Our back office operates from Cochin, with support staff in China and the Philippines.

Job Summary
We are looking for an experienced Procurement Manager to lead our entire procurement operation from Cochin. The successful candidate will lead the Cochin procurement team and coordinate with our support staff in China and the Philippines and with the sales team in Dubai.

Around 80% of our orders are placed with overseas suppliers, so strong experience in international sourcing is essential. The role also involves building a stronger supplier base in India.

As a startup, we need someone who can set up and improve processes as well as manage day-to-day operations. The role combines strategic responsibility with hands-on work on sourcing, costing, negotiation, and order follow-up.

Key Responsibilities

Procurement Operations

- Take full ownership of procurement operations, from enquiry and sourcing to purchase order, delivery, and closure.
- Build procurement strategies that support the company’s goals on cost, quality, and delivery.
- Manage purchasing from international suppliers, which account for around 80% of orders, including imports, Incoterms, and shipping coordination.

Strategic Sourcing and Cost Savings

- Source alternative and better-value suppliers beyond those identified by the estimation team at the quotation stage, to achieve measurable cost savings.
- Use these sourcing efforts to strategically develop current vendors and reduce dependence on existing suppliers.
- Expand and strengthen the Indian supplier base for mechanical,



electrical, and electronic components.
- Develop a strong supplier network in China, Europe, the US, and other global markets.
- Track and report savings achieved against estimated costs.

Team Leadership

- Lead, mentor, and manage the Cochin procurement team.
- Assign enquiries and workload, set targets, and track team performance.
- Coordinate with support staff in China and the Philippines on supplier sourcing and follow-up.
- Set up and enforce standard operating procedures, documentation standards, and reporting.

Supplier Management

- Identify, evaluate, and onboard qualified suppliers for mechanical, electrical, and electronic components.
- Negotiate prices, payment terms, lead times, and long-term agreements.
- Monitor supplier performance and manage delivery risks proactively.

Quotations, Purchase Orders, and Documentation

- Review supplier quotations and costings to ensure competitive and accurate customer quotes.
- Review and approve purchase orders to ensure they match client and project specifications.
- Ensure complete and accurate documentation, including invoices, HS codes, certificates of origin, and certificates of conformity.

Cross-Functional Coordination

- Work closely with the sales and estimation teams to meet quotation deadlines and customer requirements.
- Coordinate with logistics and warehouse teams on shipping and delivery.
- Resolve procurement and delivery issues quickly to avoid delays to customers.

Reporting

- Provide regular reports on open orders, pending supplier payments, quotation turnaround, cost savings achieved,



new vendors developed, and team performance.

Requirements

- Minimum 5-7 years of procurement experience, preferably in engineering or industrial supply.
- Strong background in sourcing mechanical, electrical, or electronic components.
- Extensive experience dealing with international suppliers, particularly in China, Europe, and the US.
- Good understanding of import/export procedures, Incoterms, and international payment terms.
- Established network of Indian suppliers is a strong advantage.
- Proven experience leading a procurement team.
- Strong negotiation, analytical, and supplier management skills, with a track record of delivering cost savings.
- Advanced MS Excel skills; experience with ERP or accounting software (such as Zoho) is an advantage.
- Ability to handle multiple enquiries and suppliers under tight deadlines.
- Willingness to work in line with UAE business hours when required.
- Comfortable working in a startup environment with changing priorities.
