ROLE OVERVIEW

The Store & Dispatch Executive will be responsible for the accurate and timely movement of finished goods from the manufacturing unit/warehouse to customers, distributors and designated locations.

The role includes dispatch planning, finished-goods verification, vehicle and transporter coordination, documentation, inventory control, ERP transactions, batch/lot traceability and delivery follow-up. The position requires strong attention to detail, disciplined execution, effective communication and adherence to quality, hygiene and safety requirements.

KEY RESPONSIBILITIES

1. Dispatch Planning & Execution: Review approved sales orders and delivery schedules; prepare daily dispatch plans based on priority, customer commitment, product and vehicle availability; coordinate vehicle placement, loading sequence and dispatch timelines.

2. Finished-Goods Verification: Verify product, quantity, batch/lot, packaging, labels, destination and vehicle details before loading and release; ensure dispatch quantities match approved orders and available stock.

3. Vehicle & Transporter Coordination: Coordinate transporters and drivers for vehicle placement, loading and dispatch; provide destination and shipment information; track deliveries and follow up on delays, discrepancies and delivery issues.

4. Documentation Management: Prepare, verify and maintain LR/GR, challans, tax invoices and other applicable dispatch documents; ensure customer, product, quantity, batch/lot,



vehicle and transporter details are accurate and documents are complete before vehicle release.

5. Inventory & Store Control: Verify physical finished-goods stock against ERP/system records; maintain records of receipts, issues, transfers, returns and dispatches; support FIFO/FEFO, batch-wise control, stock verification and investigation of variances.

6. Warehouse Organization: Ensure finished goods are correctly identified, stored and located; maintain segregation of approved, hold, rejected, returned and dispatch-ready stock; keep warehouse and dispatch areas clean, organized, protected and efficient.

7. Quality, Compliance & Traceability: Coordinate with QA/QC to ensure only approved/released goods are dispatched; maintain batch/lot traceability; follow food-grade handling, storage, labeling, hygiene, safety and quality-system requirements; promptly escalate deviations, shortages, damages and discrepancies.

8. ERP & Records: Complete accurate and timely ERP/system entries for receipts, stock movements, issues and dispatches; maintain sales-order references, dispatch records, invoices, LR/GR, challans, transporter records and audit/traceability documentation.

9. Issue Resolution & Escalation: Record and escalate shortages, damages, returns, delivery failures, documentation errors and transporter-related issues; coordinate with relevant teams for timely resolution.

- Production/Planning: Finished-goods availability and dispatch readiness.
- QA/QC: Product release, batch traceability and quality requirements.
- Finance/Accounts: Invoices and dispatch documentation.
- Stores/Warehouse: Stock readiness, loading and inventory control.
- Logistics/Transporters:



Vehicle placement, dispatch and delivery tracking.
- Customers/Distributors: Delivery coordination and issue resolution, wherever required.

Skills & Qualifications

1. Experience: senior: 4–5+ years of relevant experience in Stores, Warehouse, Dispatch, Logistics, Inventory or Manufacturing Operations. Junior: 1–3 years of relevant experience will be preferred; suitable candidates with relevant exposure may also be considered.

2. Education: Graduate/Diploma or equivalent qualification in Logistics, Supply Chain, Commerce, Operations or a related field.

3. Working knowledge of ERP/system-based inventory transactions.

6. Understanding of dispatch documentation and inventory records.

7. Good communication, coordination and follow-up skills.

8. Strong numerical accuracy and attention to detail.

9. Ability to manage time-sensitive dispatch activities.

10. Ability to work effectively in a manufacturing/warehouse environment.
