Key Responsibilities

- Prepare Proforma Invoices and Tax Invoices as per customer purchase orders and company procedures.
- Prepare and maintain Open PO (Purchase Order) reports and follow up on pending orders.
- Coordinate and plan daily dispatches as per customer requirements and material availability.
- Release and coordinate PPC (Production Planning & Control) requirements/releases for spare parts and pending orders.
- Coordinate with Production, PPC, Stores, Purchase, Accounts and Service departments to ensure timely dispatch.
- Prepare and send dispatch-related emails to customers, including dispatch details, invoice copies and delivery updates.
- Follow up with customers for pending payments, outstanding invoices and payment commitments.
- Maintain records of invoices, open POs, pending dispatches, customer payments and order status.
- Ensure timely follow-up on pending orders and coordinate with the concerned departments to avoid dispatch delays.
- Prepare daily or weekly MIS reports for open POs, invoice status,



dispatch planning and outstanding payments.
- Verify PO details, quantities, rates and other relevant information before invoice preparation.
- Maintain proper documentation and professional communication with customers.

Required Skills

- Experience in invoice preparation and dispatch coordination.
- Knowledge of Proforma Invoice, Tax Invoice and Purchase Orders.
- Understanding of PPC coordination and production/dispatch processes.
- Good knowledge of MS Excel and ERP software.
- Valuable email drafting and customer communication skills.
- Ability to follow up on outstanding payments and pending orders.
- Good coordination, documentation and time-management skills.

Pay: ₹10,000.00 - ₹22,000.00 per month
