Key Responsibilities

Travel & Accommodation

▪ Book flight/train/bus tickets and arrange hotel accommodations for employees

and autorised guests.

▪ Coordinate travel requirements with department POCs and share confirmed

itineraries.

▪ Handle cancellations, rescheduling, refunds and last-minute travel changes.

▪ Manage the Uber for Business account, monitor usage, and ensure adherence to

company guidelines.

Expense Tracking & Reporting

▪ Maintain accurate trackers for travel bookings, expenses, payments, cancellations,

and refunds.

▪ Reconcile booking records with invoices and vendor statements, identifying and

resolving discrepancies.

▪ Prepare periodic reports on travel expenditure and logistics costs for review by the

Facility Manager and Finance team.

Asset & Inventory Management

Track the issuance and return of IT equipment used for training programs and events.

Maintain book and other goods inventory records, coordinate stock dispatch, and

reconcile quantities sold, returned,



and remaining after events.

Prepare inventory and sales reconciliation reports and flag discrepancies.

Qualifications & Skills

▪ 1 – 4 years of experience in travel ticket booking or travel desk operations, with

hands-on experience booking flights, trains, and buses.

▪ Good working knowledge of MS Excel or Google Sheets, including formulas,

filters, pivot tables, and report preparation.

▪ Strong numerical aptitude and experience handling expense tracking, billing, or

financial reconciliation.

▪ Excellent attention to detail, organizational skills, and follow-up abilities.

▪ Positive communication skills and the ability to coordinate with multiple teams and

vendors.

▪ High integrity and accountability when handling company funds, records, and

assets.
