Key Responsibilities

- Purchase Order Management: Acknowledge, validate, amend and process purchase orders as per business requirements and approvals. Identify incorrect orders and quantity discrepancies, coordinate with the Quick Commerce team for resolution, and maintain accurate PO records.
- Inventory and Order Fulfilment: Monitor stock availability, coordinate replenishment where required, generate order forms and work with warehouse and logistics teams to ensure timely order processing, dispatch and fulfilment while minimising stock shortages and excess inventory.
- Logistics and Delivery Coordination: Plan and monitor the movement of goods between warehouses, stores, Quick Commerce platforms and customers. Coordinate with transport providers and internal teams to track deliveries, confirm receipt and resolve delivery-related issues or disputes.
- Invoicing and Documentation: Generate and share tax invoices, upload e-way bills, coordinate Goods Receipt Note (GRN) acknowledgements, review discrepancy notes and ensure the accuracy of dispatch-related documents and statutory compliance requirements.
- Debit Notes and Sales Reconciliation: Verify daily and biweekly debit notes, identify discrepancies and coordinate with the Quick Commerce team for resolution. Process sales reversals,



manage sales recall requests and work with the Accounts team to ensure accurate entries and reconciliation.
- Vendor and Procurement Coordination: Coordinate with vendors and suppliers to support timely procurement, vendor onboarding, purchase order processing and adherence to agreed delivery schedules and commercial terms. Generate and process purchase orders for advertisements and marketing campaigns as required.
- Cross-functional Coordination: Work closely with the Quick Commerce, Procurement, Accounts, Warehouse, Logistics, Commercial, Production and Sales teams to ensure a smooth flow of materials and information, resolve pending issues and minimise operational disruptions.
- Reporting and Process Improvement: Maintain accurate records of purchase orders, inventory, invoices, deliveries, debit notes and reconciliations. Prepare regular operational reports, analyse supply chain data, identify cost-saving opportunities and recommend improvements in efficiency and order fulfilment.
- Compliance and Risk Management: Ensure adherence to company policies, applicable legal requirements and documentation standards. Identify potential risks relating to stock availability, supplier performance, transportation and delivery timelines, and coordinate corrective actions.
