Company Description AK & Partners is a full service law firm that combines transaction advisory and dispute resolution with a solid focus on banking, finance, regulatory, fintech and general corporate.
Role purpose: Keep the books of all entities current and reconciled, bill and collect on time, run payroll and vendor payments accurately, prepare every GST, TDS, income-tax, ROC and FEMA filing in good time for approval, and give the partners a daily, reliable view of what is done, what is pending and what is due. The Virtual CFO reviews your work; you own execution.
Key responsibilities
- Bookkeeping and month-end close for every entity by the 10th, with suspense below an agreed limit and cleared within 7 days.
- Monthly bank reconciliation of every account, with unidentified credits and debits explained within 48 hours.
- Raise retainer invoices, debit notes and rent invoices within 3 working days of approved timesheets, with correct GSTIN, HSN/SAC and narration.
- Track receivables weekly and send reminders by e-mail with escalation; record TDS credits and match them to Form 26AS/AIS.
- Run vendor payments in a fixed cycle (every 10–15 days, per the partner rule of 19 Sep 2026) and staff reimbursements monthly, only against approved bills and written approval.
- Prepare monthly payroll for each entity from biometrics and approved rules; compute TDS on salary and recover advances correctly.
- Compute and deposit TDS, file quarterly TDS returns and revisions, issue certificates, and prepare advance-tax workings.
- Prepare GSTR-1, GSTR-3B, 2B reconciliation, ITC workings and challans for each GSTIN; respond to notices with the CFO’s draft.
- Prepare ROC and MCA filings with the CS firm (AOC-4, MGT-7/7A, ADT-1, DPT-3, director changes and KYC) and manage DSC use and tracking.
- Prepare Form 15CA/15CB data, remittance advice and FIRC follow-up for inward and outward foreign payments; keep a live remittance register.
- Coordinate statutory audit and tax audit: provide data, close queries, keep signed physical sets.
- Send the partners a work list and status every morning and evening;
- Maintain the compliance calendar, payment tracker, TDS tracker and document folders on SharePoint.
Principals’ office
- Personal advance tax, ITR support, ITR-V and Form 26AS/AIS sets, and documentation for loans and property transactions.
- Request statements for all personal accounts in the first week of each month.
- Reimbursement computations for partners and staff, and household or project vendor payments, each with a separate ledger and approval from the relevant partner.
Skills and tools required
- Tally Prime (multi-company), Zoho Books, advanced Excel (lookups, pivots, ageing), Outlook and SharePoint.
- Hands-on with the GST portal (GSTR-1, 3B, 2B, notices), Income Tax e-filing, TRACES, MCA V3, net-banking and CMS.
- Working knowledge of TDS sections and rates, GST on services and reimbursements, payroll, Form 15CA/15CB, and basic FEMA documentation.
- Clear written English and Hindi; able to write a concise status note and a polite, firm payment reminder.
Behaviours the partners expect
- Ownership: come with a solution, not only a problem. Find the answer (for example, identify an unknown credit) before escalating.
- Close the loop: confirm when a task is done, without being chased.
- Deadline discipline: file on the internal date, never on the due date.
- Confidentiality: never share information except through the approved channel.
- Accuracy: no invoice or payment goes out without a second check on amount, GSTIN, period, TDS and beneficiary.
