: SALES COORDINATOR – SALES PROCESS CONTROL

- Purpose of the Role The Sales Coordinator acts as the Central Control Point for the entire Sales Process, connecting Lead Generation, the Sales Team, Customers and Internal Departments. The primary responsibility is to ensure that every qualified lead is promptly processed, every sales opportunity has a clear owner and next action, and every quotation and proposal is systematically followed up. The Coordinator ensures that opportunities move efficiently from initial contact through enquiry, proposal, order and repeat business, so that no genuine sales opportunity is lost due to poor coordination, delayed action or inadequate follow-up.
- Key Responsibilities

A. Lead and Enquiry Management
- Receive leads generated through research, marketing campaigns, customer enquiries and the sales team.
- Record all qualified leads and enquiries in the designated customer tracking DataBase.
- Ensure every lead is assigned to the appropriate salesperson and acted upon promptly.
- Track the progress of each lead from initial contact to a confirmed opportunity, order or closure.

B. Quotation and Proposal Follow-up
- Receive all proposal requests and ensure details are correct; enter in Proposal register and allocate a Proposal Number.
- Coordinate the preparation and timely submission of Proposals, samples, technical information and proposals.
- Maintain a complete record of Proposals submitted, their values, submission dates and follow-up dates.
- Ensure every quotation and proposal is followed up until the customer responds and the outcome is established.

- Alert the responsible salesperson and Sales Manager to pending decisions, delays, objections and opportunities requiring intervention.

C. Sales Pipeline Control
- Maintain an up-to-date sales pipeline showing the customer, product, potential order value, salesperson responsible, current stage, next action and expected closure date.
- Identify leads and opportunities that have remained inactive or have not progressed as planned.
- Prompt salespeople to complete overdue follow-ups and update the status of their opportunities.
- Ensure that no opportunity remains unattended or is marked as closed without a recorded outcome.

D. Customer and Internal Coordination
- Coordinate with customers and internal departments, including Production, Design, Quality Control, Accounts and Stores, to facilitate samples, specifications, pricing, order processing and delivery commitments.
- Follow up on pending customer approvals, purchase orders, production information and other requirements affecting order conversion.
- Help resolve coordination delays and promptly escalate issues that could jeopardise a sale or customer relationship.

E. Order Conversion and Repeat Business
- Track opportunities through to receipt of purchase orders and ensure a smooth handover for execution.

- Monitor pending repeat orders and follow up with existing customers to identify replenishment requirements and additional business opportunities.
- Maintain records of lost orders, analyse reasons for non-conversion and opportunities for future follow-up and corrective action.

F. Reporting and Accountability
- Prepare a concise daily and weekly sales activity report covering current leads, enquiries, Proposals, follow-ups due and completed, orders received, pending decisions and overdue actions.
- Provide the Sales Manager with an accurate picture of pipeline value with percentage chance of winning, opportunity movement, conversion progress and potential risks.
- Ensure the sales tracker (Excel Sheet) reflects the actual position of every active opportunity.
- Performance Expectations The Sales Coordinator is accountable for the discipline, visibility and continuity of the sales process. Success is measured by timely lead processing, complete and accurate records, follow-up compliance, reduced delays, improved quotation-to-order conversion, effective coordination and the prevention of avoidable loss of sales opportunities.

Important distinction: The Sales Coordinator does not replace the salesperson or take over responsibility for selling, negotiating or closing deals. The salesperson owns the customer relationship and sales outcome; the Coordinator ensures that the process is monitored, actions are completed and opportunities do not fall through the cracks. The Sales Manager remains responsible for sales strategy, targets and overall team performance.
