Elcen Machines Pvt. Ltd. is looking for a motivated and detail-oriented Purchase Executive to join our team in Vadodara.

Role Description The Purchase Executive will be responsible for managing day-to-day purchasing activities, coordinating with suppliers, processing purchase orders, and maintaining accurate procurement records. The role involves obtaining and comparing supplier quotations, negotiating prices, following up on material deliveries, and ensuring that purchasing requirements are fulfilled on time.

The Purchase Executive will work closely with the Stores, Production, and Accounts departments to ensure smooth procurement operations. The role also includes maintaining supplier documentation, verifying invoices, and supporting efficient purchasing processes in line with company requirements and quality standards.

Responsibilities

- Handle daily purchasing activities and maintain accurate purchase records.
- Coordinate with suppliers to obtain quotations, confirm pricing, and discuss delivery schedules.
- Prepare, process, and track Purchase Orders (POs).
- Follow up with suppliers to ensure timely delivery of materials as per production requirements.
- Compare supplier quotations and negotiate pricing and commercial terms.
- Coordinate with the Stores, Production, and Accounts departments to ensure smooth procurement operations.
- Maintain supplier databases, purchase registers, invoices, and related documentation.
- Ensure materials are procured according to company requirements,



specifications, and quality standards.
- Verify supplier invoices and coordinate with the Accounts department for payment processing.
- Develop and maintain positive working relationships with existing suppliers and assist in identifying current suppliers.
- Support cost optimisation by comparing quotations and identifying competitive sourcing options.

Required Qualifications

- Graduate in any discipline; a degree or diploma in Commerce, Business Administration, Supply Chain Management, or a related field is preferred.
- Prior experience in purchasing, procurement, or a similar role will be an advantage.
- Basic knowledge of purchasing processes, supplier coordination, and material procurement.
- Proficiency in MS Excel and basic computer applications.
- Familiarity with ERP or purchase management software will be an added advantage.
- Good communication, negotiation, and coordination skills.
- Ability to maintain accurate records, manage documentation, and follow up with suppliers.
- Strong attention to detail and the ability to coordinate with multiple departments.
- A responsible, organised, and proactive approach to work.
