We are looking for a highly proactive, sharp, and emotionally intelligent Executive Assistant to the Managing Director who can operate as a trusted business partner and the MD's right hand.
The ideal candidate will go beyond traditional administrative responsibilities, bringing exceptional organisational skills, business acumen, discretion, and the ability to anticipate needs, manage priorities, drive follow-through, and ensure seamless execution.
We are looking for someone who thinks ahead, takes ownership, solves problems independently, and ensures the MD is always one step ahead.
1. Strategic Partner to the MD
- Understand the MD's vision, business priorities, leadership style, and expectations.
- Translate the MD's priorities into actionable plans and ensure follow-through.
- Anticipate requirements and proactively identify potential challenges.
- Provide relevant information, insights, and context before key meetings and decisions.
- Act as a sounding board for ideas, priorities, and business matters.
- Ensure the MD's attention remains focused on high-impact activities.
2. Gatekeeper & Time Strategist
- Own and strategically manage the MD's calendar.
- Prioritise meetings based on business importance, urgency, and strategic relevance.
- Screen requests, calls, visitors, and meeting invitations.
- Protect the MD's time from unnecessary interruptions.
- Assess which matters require the MD's direct attention and which can be resolved independently.
- Ensure adequate preparation time, thinking time, and decision-making time.
3. Information & Communication Management
- Act as the central communication interface between the MD and key stakeholders.
- Ensure the MD receives accurate, concise, and relevant information.
- Draft, review, and manage important emails, presentations, communications, and correspondence.
- Maintain confidentiality in all sensitive discussions and communications.
- Filter information and highlight matters requiring immediate attention.
- Ensure that critical messages and decisions are not lost in communication gaps.
4. Meeting Management & Follow-through
- Prepare agendas, briefing notes, presentations, and background documents.
- Ensure the MD is adequately briefed before every important meeting.
- Attend meetings wherever required and capture key decisions and action points.
- Maintain a centralised tracker of commitments and deliverables.
- Follow up with stakeholders to ensure timely closure of action items.
- Escalate delays, bottlenecks, and unresolved issues to the MD.
5. Cross-functional Coordination
- Coordinate with Business Heads, Department Heads, and other key stakeholders.
- Drive alignment on priorities communicated by the MD.
- Track critical business initiatives and strategic projects.
- Ensure interdepartmental dependencies are addressed.
- Follow up on important deliverables without requiring constant MD intervention.
- Identify operational gaps and bring them to the MD's attention with possible solutions.
6. Decision Support & Problem Solving
- Understand the context behind the MD's decisions and priorities.
- Gather relevant information before bringing an issue to the MD.
- Present problems with possible solutions rather than merely highlighting challenges.
- Distinguish between matters requiring information, consultation, approval, or escalation.
- Exercise sound judgement within delegated authority.
- Ensure decisions are documented and translated into action.
7. Relationship & Stakeholder Management
- Build strong professional relationships with internal and external stakeholders.
- Represent the MD's office with professionalism, maturity, and discretion.
- Manage interactions with board members, investors, clients, business associates, and senior leadership.
- Handle sensitive situations diplomatically.
- Maintain relationships while ensuring appropriate boundaries and authority.
8. Confidentiality, Trust & Discretion
- Maintain absolute confidentiality regarding business, financial, strategic, and personal matters.
- Handle sensitive documents and conversations responsibly.
- Exercise discretion in sharing information.
- Maintain professional neutrality in organisational matters.
- Build a relationship based on trust, integrity, and reliability.
9.Anticipation & Proactive Management
- Know the MD's priorities without having to be reminded constantly.
- Anticipate upcoming requirements, deadlines, and commitments.
- Identify potential conflicts before they arise.
- Keep track of important conversations and pending decisions.
- Recognise when something is unusual, urgent, or requires intervention.
- Ensure that nothing important slips through the cracks.
