Microsoft 365 & Email/Messaging Engineer The Senior Microsoft 365 & Email/Messaging Engineer leads Hillenbrand's Exchange Online, Teams and Microsoft 365 collaboration services across a large, global enterprise. The role focuses on standardization, security, cost optimization and resilience. It drives consolidation of acquired and legacy environments into a single Microsoft 365 tenant, directs managed service providers, and owns eDiscovery.

Key Responsibilities
· Lead engineering, architecture and operations for Exchange Online, Teams, and OneDrive, including the small on-premises Exchange footprint.
· Own mail flow and messaging: domains, connectors, transport rules, shared and resource mailboxes, permissions, and secure mail relay for applications and devices.
· Lead tenant and domain consolidation toward one tenant, including assessment, migration, coexistence and cutover.
· Manage Microsoft 365 licensing: assign, reclaim and consolidate SKUs and add-ons (Teams Phone, Audio Conferencing, Teams Premium, Teams Rooms) and report cost savings.
· Administer Teams on the Microsoft side: Direct Routing and Calling Plans, policies, call quality and Teams Rooms, coordinating with the telephony team and carriers.
· Own eDiscovery in Microsoft Purview: holds, searches, exports and case management, in partnership with Legal and HR.
· Contribute to Defender for Office 365 and DLP: SPF/DKIM/DMARC, anti-phishing and anti-spam policies, policy tuning and incident follow-up with the security team.
· Share ownership of Entra Connect and hybrid identity sync with the data center team.
· Support retention, sensitivity labels, audit logging, guest and external sharing controls, and mailbox and Teams lifecycle management.
· Direct and hold accountable managed service providers for Microsoft 365 and messaging operations.
· Use PowerShell, Microsoft Graph, automation and AI to improve efficiency and produce reporting on licenses, mail flow, Teams usage and call quality.
· Define and report KPIs for mail delivery, Teams quality, license utilization,



security posture and project progress.
· Partner with identity, infrastructure, network, security, application and service-desk teams, and with ServiceNow for incident, change and CMDB processes.
· Maintain standards, runbooks and documentation, and participate in a light on-call rotation. Required Qualifications
· 10+ years of enterprise experience with Exchange (Online and hybrid) and Microsoft 365.
· Deep knowledge of mail flow and messaging security: SPF/DKIM/DMARC, connectors, transport rules, Autodiscover and mailbox permissions.
· Proven M&A;

experience:
tenant-to-tenant migrations, domain and mail-flow consolidation, and legacy rationalization.
· Hands-on Teams administration, including Direct Routing, Calling Plans and meeting rooms.
· Experience with eDiscovery and compliance tooling (Microsoft Purview or equivalent).
· Strong PowerShell and Microsoft Graph skills, plus working knowledge of Entra ID, Entra Connect and hybrid identity.
· Experience managing managed service providers to defined service levels.
· Strong communication and cross-functional collaboration in a multi-tenant enterprise. Preferred Qualifications
· Teams Phone and PSTN experience (carriers, SBCs, numbering, emergency calling).
· Microsoft 365 licensing and cost optimization (EA/CSP).
· Defender for Office 365, DLP and conditional access within a Zero Trust approach.
· Tenant migration tools (such as Quest or BitTitan) and ServiceNow. Technology Stack
