Role Overview We are looking for a friendly, proactive and well-organized Guest Relations Intern who is passionate about hospitality and enjoys interacting with people. The candidate will be responsible for assisting with guest communication, managing booking-related queries, coordinating check-ins and check-outs, and ensuring that guests receive a smooth and delightful experience throughout their journey with Stay Ukiyo. This role offers hands-on exposure to the hospitality and vacation rental industry, with opportunities to learn guest handling, reservation management and day-to-day operations.

Key Responsibilities
1. Guest Communication & Support
* Handle guest inquiries through calls, WhatsApp, emails and other communication channels.
* Assist guests with booking details, property information, availability and special requests.
* Ensure timely responses and maintain skilled communication with guests.
* Follow up with guests before,



during and after their stay. 2. Reservation & Booking Coordination
* Assist in managing guest reservations and maintaining accurate booking records.
* Coordinate with the sales and operations teams to ensure booking details are communicated correctly.
* Share check-in instructions, location details and other relevant information with guests. 3. Check-in & Check-out Management
* Coordinate with property managers and on-ground teams for smooth guest arrivals and departures.
* Ensure guests receive all necessary information before reaching the property.
* Assist in resolving guest concerns and coordinating solutions promptly. 4. Guest Experience Management
* Understand guest requirements and assist with special requests.
* Suggest local experiences, restaurants, cafés and activities.
* Collect guest feedback and reviews after their stay.
* Identify opportunities to improve the overall guest experience. 5. Operations & Administration
* Maintain updated guest databases and reservation records.
* Prepare daily booking updates and operational reports.
* Coordinate with internal teams and property partners to ensure seamless execution.




* Escalate guest complaints or operational challenges to the concerned team. Desired Skills & Qualifications

* Good problem-solving and coordination skills.
* Basic knowledge of MS Excel, Google Sheets and other office tools.
* Comfortable communicating over WhatsApp, calls and emails.

* Willingness to learn and work in a fast-paced environment.
