Purchase Executive

Roles and Responsibilties

To ensure uninterrupted supply of materials/services at optimized cost, right quality, and right time, while maintaining strict financial and process control across all projects.

1. Procurement Planning & Demand Forecasting

- Prepare monthly & project-wise procurement plans based on:
- Project schedules (from Planning Dept)
- Consumption patterns (from Site Engineers)
- Create material requirement schedules (MRS)
- Identify long-lead items (steel, cement, lifts, etc.)
- Ensure zero site stoppage due to material shortage

2. Vendor Development & Management

- Identify, evaluate & empanel vendors (minimum 3 per category)
- Conduct technical + commercial evaluation
- Maintain approved vendor list (AVL)
- Monitor:
- Vendor performance
- Delivery timelines
- Quality issues

3. Costing & Negotiation

- Floating RFQs (Request for Quotations)
- Comparative statement (CS) preparation
- Lead commercial negotiations:
- Rate finalization
- Credit terms
- Delivery timelines

4. Purchase Order (PO)



Management

- Issue PO with:
- Detailed specifications
- Delivery schedule
- Payment terms
- Ensure PO approval workflow (Finance + Management)

5. Material Supply Coordination

- Coordinate with:
- Store Manager
- Site Engineers
- Track dispatch & delivery
- Resolve supply delays

6. Quality & Compliance Control

- Ensure material meets:
- IS standards
- Project specifications
- Handle rejection & replacement

7. Billing & Payment Coordination

- Verify vendor bills with:
- GRN (Goods Receipt Note)
- PO terms
- Coordinate with Finance for payments

8. MIS & Reporting

- Weekly reports:
- Pending orders
- Delayed deliveries
- Monthly reports:
- Cost savings
- Vendor performance

Skills Required:

- Solid negotiation & vendor handling
- Technical knowledge of construction materials
- Commercial acumen
- ERP / Excel proficiency
