Department: Tax Strategy & Compliance

Position Type: Full-Time | Remote

Reports To: Executive Leadership

Directly Oversees: Tax Preparers, Tax Reviewers, and technical tax strategy execution

Works Closely With: Client Service & Experience Manager, Senior Tax Administrator, Tax Strategy Support, and Operations

Position Overview

CFOAF is a proactive tax strategy and advisory firm serving business owners and high-income individuals. Our primary objective is not simply to prepare accurate tax returns, but to help clients legally minimize their tax liabilities through thoughtful planning, timely strategy implementation, technically sound compliance, and ongoing advisement.

The Tax Manager is accountable for delivering those outcomes.

This position leads both tax strategy and tax compliance, ensuring that recommendations are appropriate, implementation requirements are completed, tax-saving opportunities are maximized, and all returns accurately reflect the client's financial circumstances and implemented strategies.

The Tax Manager serves as CFOAF's primary technical tax leader, overseeing reviewers and preparers, advising clients, developing team capabilities, and ensuring that strategy and compliance function together rather than as separate services.

The position has two equally important primary objectives:

Tax Savings: Maximize appropriate, legally supportable tax savings through proactive planning, accurate recommendations, timely implementation, and ongoing client advisement.

Tax Compliance: Ensure accurate, defensible, and timely completion and filing of federal and state tax returns, properly incorporating approved and substantiated strategies.

Success requires both. An accurate tax return that overlooks significant planning opportunities is not a complete success, nor is a promising tax strategy that is improperly implemented or reported.

Key Responsibilities

1. Tax Strategy Leadership and Savings Optimization

- Lead the technical development, evaluation, approval, and execution of proactive tax-saving strategies for business owners and high-income clients.
- Review client financial information, business structures, historical tax filings, and projected income to identify legitimate tax-saving opportunities.
- Evaluate entity structures, compensation planning, retirement strategies, deductions, credits, timing opportunities, and other appropriate planning strategies.
- Ensure recommendations are personalized to the client's circumstances, supported by applicable tax law, and financially worthwhile.
- Quantify projected tax savings using documented assumptions and calculations.
- Identify opportunities not previously considered and recommend additional planning where appropriate.
- Review strategies throughout the year as client circumstances or tax laws change.
- Advise leadership on emerging tax law developments and their potential impact on clients.

2. Tax Strategy Implementation Management

- Own technical accountability for the successful implementation of approved tax strategies.
- Oversee Tax Strategy Support and coordinate with other departments to ensure implementation requirements are assigned, tracked, and completed.
- Establish and monitor critical strategy implementation deadlines.
- Verify that all required elections, agreements, documentation, contributions, payments, entity changes, and other actions are properly completed.

- Identify implementation obstacles early and communicate corrective action.
- Ensure client acceptance and completion requirements are documented before a strategy is classified as implemented.
- Confirm that projected savings are supported by the completed implementation.
- Maintain visibility into accepted, pending, completed, and at-risk strategies.
- Resolve technical questions arising during implementation.
- Ensure completed strategies are communicated accurately to preparers and reviewers.

3. Compliance Alignment and Tax Return Oversight

- Oversee the technical preparation, review, and completion of federal and state tax returns.
- Ensure compliance work accurately reflects the client's implemented tax strategies.
- Review complex individual, business, and multi-entity returns, including Forms 1040, 1120-S, 1065, and 1120.
- Verify that deductions, credits, elections, entity structures, and other relevant tax treatments are correctly applied.
- Perform or oversee reconciliation of financial statements, prior-year returns, workpapers, and supporting documents.
- Identify discrepancies, missed deductions, incorrect classifications, unsupported positions, and compliance risks.
- Establish and maintain technical review standards and quality-control procedures.
- Ensure returns progress through technical review and finalization within established deadlines.
- Resolve complex tax questions and provide final technical direction within delegated authority.
- Oversee the technical resolution of tax notices, amended returns, and compliance issues as assigned.

4. Client Advisory and Strategy Meetings

- Lead or participate in client strategy meetings, quarterly reviews, and other tax advisory discussions.
- Explain tax-saving opportunities, projected benefits, implementation requirements, and potential risks in clear, practical language.
- Review client progress toward tax-saving objectives and identify additional opportunities.
- Discuss changes in income, business operations, entity structures, and personal circumstances that affect tax planning.
- Provide guidance regarding estimated tax payments, cash flow implications, tax liabilities, and planning deadlines.
- Collaborate with the Client Service & Experience Manager to ensure timely follow-through on client commitments.
- Address complex technical client questions and concerns.
- Communicate accurately and confidently while maintaining realistic expectations regarding anticipated tax savings.
- Maintain appropriate professional boundaries regarding legal, investment, and other advice outside the firm's engagement scope.

5. Tax Team Leadership and Development

- Direct, coach, and develop tax preparers, reviewers, and personnel responsible for technical tax strategy execution.
- Establish transparent performance expectations for accuracy, timeliness, technical judgment, documentation, and accountability.
- Provide technical training on tax law, strategy implementation, return preparation, and review procedures.
- Evaluate team performance using quality, timeliness, rework,

and productivity metrics.
- Identify recurring errors and implement corrective training.
- Delegate assignments according to technical complexity, experience, and workload.
- Conduct technical performance reviews and provide actionable feedback.
- Encourage independent problem-solving, proactive communication, and professional development.
- Develop stronger reviewers and preparers to increase the department's capacity and reduce dependence on executive leadership.

6. Workflow Accountability and Cross-Department Collaboration

- Maintain technical accountability for strategy execution, tax preparation, review, and compliance completion.
- Collaborate with Operations regarding production schedules, capacity, deadlines, and resource constraints.
- Work with Bri, the Client Service & Experience Manager, on client communication, advisory meeting coordination, technical escalations, and outstanding client needs.
- Work with Mayi, the Senior Tax Administrator, on documentation requirements, tax deliverables, and administrative handoffs.
- Coordinate with Tax Strategy Support to ensure implementation milestones and evidence requirements are properly documented.
- Maintain accurate and timely technical status updates within Karbon.
- Identify stalled work, missing information, and technical risks before they affect deadlines or client outcomes.
- Recommend process improvements that increase quality, efficiency, and accountability.

The Tax Manager owns technical decisions and tax outcomes. Administrative routing, routine client communication, and company-wide operational management remain with their designated functional owners.

Required Qualifications

- Active CPA or Enrolled Agent credential, with appropriate authorization and qualifications for assigned duties.
- Minimum 7–10 years of progressive U.S. federal and state tax experience.
- Significant experience reviewing complex individual, partnership, S corporation, and corporate returns.
- Demonstrated proficiency in proactive tax planning for business owners and high-income individuals.
- Experience implementing and validating tax strategies, not merely recommending them.
- Strong understanding of entity taxation, pass-through taxation, deductions, credits, tax elections, and multi-state considerations.
- Proven experience managing, reviewing, training, and developing tax professionals.
- Ability to explain complex tax matters clearly to clients.
- Strong analytical skills, independent judgment, and technical problem-solving ability.
- Ability to lead a remote team and maintain accountability through systems and measurable outcomes.
- Experience with professional tax preparation and workflow management software.

Preferred Qualifications

- Experience serving closely held businesses with annual revenue of $3 million to $25 million or more.
- Advanced experience with multi-entity tax structures and sophisticated business-owner tax planning.
- Experience with UltraTax CS, Karbon, and tax planning software.
- Experience building tax quality-control procedures and strategy implementation processes.
- Demonstrated ability to manage both advisory and compliance functions within a growing tax firm.

This is not a compliance-only management position. It is a tax strategy, execution, compliance, and advisory leadership role responsible for turning CFOAF's proactive tax philosophy into measurable client outcomes.
