JOB TITLE: Strategic Executive Assistant & Coordinator

DEPARTMENT: Founder’s Office

REPORTS TO: Founder

LOCATION: Bengaluru, Karnataka, India

WORK SETUP: Office-based, with regular visits to our animal shelter

EMPLOYMENT TYPE: Full-time (6-days a week)

EXPERIENCE: At least five years of relevant experience

COMPENSATION: Shall be discussed during the interview

WORKING HOURS: General shift with evening flexibility

ROLE LEVEL: Level-3 (Senior Profile)

Role Purpose: You will be the Founder’s trusted partner, bringing structure, clarity and follow-through to the Founder’s Office.

You will help manage the Founder’s day, prepare for important meetings, coordinate with teams across the organisation and keep projects and decisions on track.

Done well, your work protects the Founder’s time for strategy, fundraising and important decisions and helps every team, from the shelter to the Board, move forward together.

Why this role exists: There is a lot that goes into running an animal rights organisation.

Beyond the rescues and medical care, there are people to support, decisions to make, donors to keep informed, teams to coordinate and plans to turn into action. The Founder carries many of these responsibilities and there are only so many hours in a day.

We want to make sure that important ideas turn into action, commitments are not forgotten and the people working towards our mission have the support they need.

That is where you come in. Some days will be planned. Others will be unpredictable. We need someone who can adapt, think clearly and keep the work moving without losing sight of why it matters.

Founder’s Office & executive support: Help the Founder stay organised, prepared and focused on what needs their attention most:

- Manage the Founder’s calendar, appointments, email and travel.
- Help identify what needs immediate attention, what you can handle independently and what can wait.
- Protect time for the Founder’s strategic work, fundraising and important decisions.
- Brief the Founder before meetings and make sure agreed actions are followed through afterwards.
- Organise documents, prepare notes and presentations and keep track of important commitments.
- Spot problems early and help solve them before they become bigger issues.
- Make decisions independently where appropriate and know when to ask questions, seek approval or raise a concern with the Founder.

Stakeholder communication: Help the Founder communicate with the people our work depends on: donors, partners, volunteers, government representatives, Board members and the wider community:

- Draft emails, letters, speeches, presentations, donor updates and social media content that read as thoughtful, clear and genuinely human.
- Organise meetings, coordinate visits to the shelter and prepare the Founder for important conversations.
- Represent the Founder at meetings or events when authorised to do so.
- Know when sensitive communications or commitments need approval.
- Build trust through honesty, consistency and follow-through.

Shelter coordination: Keep the Founder’s Office connected to the work on the ground:

- Visit the shelter regularly and stay informed across teams: rescues and admissions, animal care, adoptions, staffing and operational needs.
- Help teams communicate with one another.
- Identify delays and unresolved issues and make sure the right people are involved when something needs attention.

- Understand how decisions made at leadership level affect the people caring for animals every day.

Board, governance & compliance: Good governance involves more than holding meetings. Decisions need to be recorded, responsibilities made clear and agreed actions completed:

- Organise Board meetings, prepare agendas and meeting materials and draft minutes.
- Maintain action trackers and coordinate follow-ups with the people responsible.
- Prepare short research notes, presentations and summaries that help the Founder and Board understand an issue and consider their options.
- Keep records organised and confidential, so important decisions are easy to find and follow.
- Maintain a calendar of organisational deadlines across India and the USA, including licenses, renewals, registrations and reporting requirements.
- Flag deadlines and potential risks early and coordinate governance and compliance matters with the relevant team or professional.

Projects & India–USA coordination: Turn ideas into practical next steps and help our teams in India and the USA work well together. This takes patience, clear communication and the ability to bring people together across distances:

- Help research and plan new initiatives and internal improvements.
- Work out what needs to be done, who needs to be involved and what a realistic timeline looks like, then check progress along the way.
- Keep projects moving when several teams or stakeholders need to work together.
- Arrange meetings across time zones, coordinate reports and updates between India and the USA.
- Track shared commitments and make sure important information reaches the right people.
- Bring possible solutions along with the problems you identify.

Internal communication, events & systems: A healthy organisation needs people to feel informed, respected and connected to the mission:

- Coordinate staff gatherings, town halls, volunteer events, donor visits, fundraisers and other special occasions.
- Support internal communication from the Founder’s Office, so important updates reach the team clearly and on time.
- Document internal processes and SOPs and organise information so it is easy to find.
- Suggest ways to make everyday work easier.

What success looks like: How we will know the role is working?

- A well-prepared Founder: The Founder goes into meetings and decisions with the right information and important priorities get the attention they deserve.
- Commitments kept: Fewer commitments get lost along the way.
- Board meetings that work: Board meetings are organised and useful, with clear minutes and follow-up.
- Clear ownership: Teams know what has been decided and who is responsible for the next steps.
- Cross-border coordination: Work between India and the USA runs smoothly and both teams stay well informed.
- Early warning: Important deadlines are visible and potential problems are raised early.
- Better systems: Over time, the organisation depends less on memory, last-minute messages and constant reminders.

Your growth at Sarvoham: Learn from the inside.

- An inside view: See how animal care, shelter management, fundraising, communications, Board governance and strategic planning fit together.
- Mentorship and responsibility: Receive guidance and mentorship from the Founder and take on meaningful responsibilities.
- Room to grow: As Sarvoham grows, the role may open up opportunities for broader leadership and strategic coordination, depending on your performance and the organisation’s needs.

Who we are looking for?

We do not expect you to know everything on your first day. We do expect you to bring experience, curiosity, sound judgment and a willingness to learn.

Essentials:

- A bachelor’s degree in any discipline.
- At least five years of relevant experience in executive assistance, a Founder’s Office, executive business support, senior coordination or a similar role.
- Experience working with senior leaders,

managing competing priorities and coordinating projects or important deliverables.
- Strong written and spoken English, with the ability to prepare clear emails, reports, presentations and meeting notes.
- The ability to handle confidential information responsibly and keep organised records.
- Strong follow-up skills and the confidence to communicate with people across roles and levels of seniority.

Preferred:

- A postgraduate qualification in management, communications or a related field (welcome, but not essential).
- Experience with an animal rights organisation, nonprofit, healthcare organisation or other social impact initiative.
- Experience coordinating Board activities, or working with teams across countries.
- Previous volunteering or skilled experience with a social cause.
- Knowledge of Kannada and Hindi.
- Good working knowledge of Google Workspace and Microsoft Office and familiarity with task management tools.

Life at Sarvoham:

We are a mission-driven organisation and our work can be unpredictable. A planned day may change because of an urgent operational issue, an unexpected meeting or a time-sensitive decision.

The role brings responsibility and variety. It will suit someone who enjoys helping people and projects move forward.

Honest about the realities:

- You will see both the rewarding and the challenging sides of animal rights. Here is what to expect.
- Shelter visits: They are part of the role. Expect animal noise, fur, animal odour and days that can be emotionally difficult.
- Some longer days: We aim to plan work responsibly, but there will be times when additional hours are necessary.
- Evenings and travel: Some flexibility is needed for occasional evening meetings with our USA team, events and travel.

You may be a great fit if:

- You like bringing structure to busy days and you notice when something is about to slip.
- You can adapt and think clearly when a planned day changes.
- You care about the people doing the work, not just the work itself.
- You want your work to make a real difference for animals.

Pay: ₹40,000.00 - ₹60,000.00 per month

Application Question(s):

- Do you have at least four years of experience in executive assistance, a Founder’s/CEO’s Office, business operations or cross-functional project coordination?
- Are you comfortable balancing strategic assignments with routine administrative work and spending regular time at an animal shelter?
- You notice that the Founder is repeatedly pulled into routine operational issues that department heads should be able to resolve themselves. This is leaving less time for strategic priorities. What would you do to understand and address the pattern? How would you improve the situation without overstepping your role?
- You promised the Founder that you would complete an important assignment by a particular deadline. An unexpected workload has made this difficult, and you realise you may not deliver on time. What would you do? At what point would you communicate the problem, and what would you say?
- You have spent several days coordinating a project based on an agreed plan. Just before completion, the Founder changes the direction and asks you to pursue a different approach. The team is frustrated and some work may be wasted. What would you do?
- The veterinary lead and shelter operations lead disagree over responsibility for a recurring operational issue. Both approach you separately, each expecting you to support their position. How would you handle this?
- The Founder tells you, “We need to make Sarvoham more efficient. Please take this forward.” There are no further instructions. What would you do over the next two weeks?
- During a shelter visit, you notice that an agreed process is not being followed consistently. Staff tell you that the procedure looks good on paper but is difficult to implement in practice. How would you address this?
- Are you able to work from Bengaluru 6 days a week and accommodate flexibility for important organisational events or meetings with the US-based team during US-hours?
- Are you comfortable using Google Workspace or Microsoft Office, spreadsheets, calendars, digital filing systems and task-management tools to coordinate work and track commitments?
