About us and the role
The Way Immigration is a Canadian immigration consulting firm based in Calgary, Alberta, with a team of Regulated Canadian Immigration Consultants (RCICs). We serve clients across Canada and worldwide.
We are hiring an experienced LMIA Filing Officer in India to handle the administrative side of our Labour Market Impact Assessment (LMIA) files for Canadian employers. You will prepare forms, manage the employer's recruitment and advertising on Job Bank and other channels, check that every ad meets program requirements, and keep each file organized and on schedule.
You will work under the direct supervision of our RCICs. This is an administrative role: you will not give immigration advice to clients. All advice and final review of every application stay with the licensed RCIC.
Key responsibilities
LMIA forms and applications
- Prepare and complete LMIA applications
- Prepare LMIA files, including related schedules and forms
- Draft supporting documents such as transition plans (for high-wage positions), recruitment summaries, cover letters and document checklists
Job ads and recruitment
- Draft job ads that include every required item: business operating name and address, job title, duties, terms of employment, language of work, wage, benefits, work location,
contact information, and education and experience requirements
- Post ads on Job Bank, keep Direct Apply turned on, and set up Job Match
- Invite all matched job seekers that meet the program's star rating within the first 30 days of the ad (4 stars or more for high-wage, 2 stars or more for low-wage)
- Post ads on at least two additional recruitment methods suited to the occupation, including one national method for high-wage positions, and methods targeting underrepresented groups and youth for low-wage positions
Ad checks and compliance tracking
- Check that every ad is live, accurate and matches the LMIA application (wage, duties, location, requirements)
- Track advertising timelines: ads must run within the 3 months before submission, for at least 4 consecutive weeks (high-wage) or 8 consecutive weeks (low-wage), with at least one recruitment activity ongoing until a decision is issued
- Capture proof of advertising: copies of each ad, plus where, when and how long it ran
- Check the prevailing wage for the occupation using the Job Bank median wage by NOC code and location
- Flag files that may be affected by low-wage rules, such as the refusal-to-process rule for higher-unemployment areas and the cap on low-wage foreign workers
Documents and records
- Keep a recruitment log of all applicants received and how each was assessed, for the RCIC and employer to review
- Maintain organized case files and a deadline tracker for every LMIA file
- Keep recruitment records organized so they can be retained for the required 6 years
Communication
- Give the RCIC regular status updates and escalate any issue or question that needs professional advice
- Stay current on Temporary Foreign Worker Program (TFWP) and LMIA rule changes
Requirements
Must have
- Proven hands-on experience preparing LMIA applications for Canadian employers (please list the LMIA streams you have worked on in your application)
- Working knowledge of Job Bank for employers, Job Match, Direct Apply and the LMIA Online Portal
- Good understanding of LMIA recruitment and advertising requirements, NOC codes and Job Bank wage data
- Excellent written and spoken English
- Solid attention to detail and the ability to manage several files and deadlines at once
- Comfortable with Microsoft Office or Google Workspace and online case tracking tools
- Your own laptop or computer and a reliable high-speed internet connection
- Able to work 9:00 AM to 5:30 PM Calgary time on a permanent basis
- Able to handle confidential client and employer information responsibly
Nice to have
- Experience working with or under an RCIC or Canadian immigration lawyer
- Experience with LMIA-based work permit applications
