We are looking for an Office & Operations Coordinator (HR & Administration) who can keep things organised, coordinate effectively with people, and ensure that key tasks and follow-ups do not fall through the cracks. This is a varied role that combines office administration, HR support, meeting and calendar management, documentation, and the use of digital tools to improve everyday workflows. You will work closely with management and interact with team members, candidates, vendors, and other stakeholders. The role requires someone who is comfortable taking ownership of routine responsibilities, managing multiple priorities, and learning new systems as the company evolves. We are open to both full-time and part-time arrangements, depending on the candidate’s capabilities, availability, and the scope of responsibilities.

• Manage incoming calls, emails, general enquiries, appointments, and routine office communication.
• Maintain organised digital and physical records, files, registers, and important company documents.
• Track company assets, equipment allocation, employee-issued devices, and related records.
• Coordinate with vendors, service providers, couriers, and other external stakeholders.
• Assist with office supplies, basic facility coordination, and other administrative requirements.
• Ensure that recurring tasks, pending requests, and operational deadlines are tracked and completed on time. HR operations and employee coordination

• Assist in maintaining compensation records and preparing payroll inputs for review by management or the relevant payroll provider.
• Help organise HR policies, employee documentation, compliance-related records, and internal process documents.
• Support the implementation and day-to-day use of HR management software (HRMS), including updating employee information and maintaining data accuracy.
• Help ensure that routine HR activities and employee requests are handled promptly and systematically. Meeting, calendar, and management support
• Schedule meetings, manage calendars, send invitations, and coordinate availability across participants.
• Organise meeting agendas and maintain notes, action items, decisions, and deadlines wherever required.
• Follow up with team members and external stakeholders on pending tasks, deliverables, and commitments.
• Maintain task trackers and provide timely updates on outstanding activities.
• Assist management with basic reports, presentations, documentation, and information gathering.
• Help ensure that important communications and follow-ups receive appropriate attention. Data management, documentation, and reporting
• Use Microsoft Excel or Google Sheets to maintain trackers, employee records, asset registers, attendance data, and operational reports.
• Keep documents structured, updated, easy to retrieve, and appropriately access-controlled.
• Check records for completeness and accuracy, and follow up on missing information.
• Prepare basic summaries, status reports, and spreadsheets as required.
• Assist in creating and maintaining standard operating procedures (SOPs), checklists, templates, and internal documentation. Digital tools and process improvement
• Work with tools such as Google Workspace, Microsoft Office, HRMS platforms, scheduling applications, and project or task management software.
• Learn new business applications and digital workflows quickly, even when you have not used them before.
• Help the team adopt tools that make coordination, documentation, and reporting more efficient.
• Identify repetitive manual tasks that could be simplified through better processes or software.
• Be comfortable experimenting with new tools, learning independently, and adapting as the company’s requirements change. What we’re looking for
• Strong organisational skills and the ability to manage several tasks without losing track of details.
• Good written and verbal communication skills in English and Hindi.
• Working knowledge of Microsoft Excel or Google Sheets, including data entry, formatting, sorting, filtering, and maintaining trackers.
• Comfort using computers, online tools, email, calendars, and digital document-management systems.
• A proactive attitude, a sense of responsibility, and the ability to follow through on tasks without constant supervision.
• Good time management, reliability, and the ability to prioritise urgent and important work.
• Professionalism when interacting with candidates, employees, vendors, and management.
• The ability to handle confidential information, particularly employee documents and compensation-related data, responsibly.
