Role overview

Own the operational processes, reporting and coordination that keep daily service delivery running smoothly across coaches, locations and lab testing services.

Key responsibilities

- Coach operations: Plan capacity, maintain coach rosters, coordinate leave and coverage, and resolve scheduling gaps.
- Utilization and reporting: Calculate weekly utilization; maintain dashboards and recurring reports on service activity, attendance, customer outcomes and operational performance.
- Data and trackers: Keep operational data accurate across systems; maintain monthly expiry sheets and other recurring trackers; investigate discrepancies and prevent process breakage.
- Lab test coordination: Arrange manual lab test bookings, coordinate schedules and status with vendors, manage operational requirements, and raise and follow up on lab-related escalation tickets.
- Daily delivery support: Monitor workflows, coordinate with coaches and stakeholders, address issues promptly,



and take on additional operational tasks as needed to maintain continuity.
- Incentive support: Reconcile calculations by validating eligible activity, sales, retention and pricing against source records.

Candidate profile

- Experience in business operations, service delivery, workforce planning or operations analytics.
- Strong spreadsheet skills, including pivot tables, lookups and data validation; dashboard or BI tool experience is an advantage.
- Organized and dependable, with strong follow-through on schedules, recurring deadlines and issue resolution.
- Explicit communicator, comfortable coordinating with coaches, vendors and cross-functional stakeholders.

Helpful experience: Coach roster and leave management, capacity planning, utilization reporting, vendor coordination or escalation-ticket management.
