Job Overview

RVR Events and Designs is looking for an experienced and result-oriented Head of Event Logistics & Operations to oversee and manage the end-to-end logistical and operational requirements of events.

The candidate will be responsible for planning, coordinating and executing all logistics activities, ensuring the timely availability of resources, effective vendor management, transportation, accommodation, manpower coordination and smooth on-ground event execution.

The ideal candidate should have strong leadership, planning and coordination skills, along with hands-on experience in handling large-scale events, weddings, corporate events and other event-related operations.

Key Responsibilities

- Event Logistics & Planning
- Plan and manage end-to-end logistics requirements for various events.
- Coordinate transportation of event materials, equipment, furniture, décor and other resources.
- Ensure timely delivery, installation and dismantling of event materials.
- Develop logistics plans and schedules based on event requirements.
- Vendor & Supplier Management
- Identify, coordinate and maintain relationships with logistics vendors and suppliers.
- Negotiate vendor quotations, pricing and service agreements.
- Monitor vendor performance and ensure timely delivery of services.
- Coordinate with decorators, transport agencies, rental companies, production teams and other service providers.
- Transportation & Accommodation
- Manage transportation arrangements for guests, artists,



employees and event materials.
- Coordinate vehicle bookings, drivers, pickup and drop schedules.
- Arrange accommodation and hotel bookings wherever required.
- Ensure smooth transportation and movement during events.
- Manpower & Team Management
- Lead and manage logistics teams, supervisors, drivers, helpers and ground staff.
- Allocate responsibilities and monitor team performance.
- Coordinate with internal departments to ensure smooth event execution.
- On-Ground Event Operations
- Supervise logistics arrangements at event venues.
- Ensure all materials, equipment and resources are available before the event.
- Handle last-minute operational challenges and provide immediate solutions.
- Oversee setup, dismantling and movement of event materials.
- Budgeting & Inventory Management
- Prepare and monitor logistics budgets.
- Control operational expenses and identify cost-saving opportunities.
- Maintain records of company assets, equipment and event materials.
- Ensure proper tracking, storage and maintenance of inventory.

Required Skills & Qualifications

- 3–5 years of experience in event logistics, event operations or event management.
- Proven experience in handling large-scale events, weddings, corporate events or exhibitions.
- Robust vendor negotiation and coordination skills.
- Excellent planning, organisational and multitasking abilities.
- Experience in transportation, accommodation and manpower management.
- Strong leadership and team management capabilities.
- Ability to work under pressure and manage last-minute changes.
- Willingness to travel and work flexible hours, including weekends, depending on event requirements.
