Role Overview

We are looking for a detail-oriented and proactive RMA Assistant Manger to manage Return Merchandise Authorisation (RMA) activities, warranty claims, equipment repairs and replacements, and material coordination.

The role involves managing the complete RMA lifecycle, from receiving equipment-related complaints and verifying warranty eligibility to coordinating with Original Equipment Manufacturers (OEMs), vendors, internal warehouse teams and logistics partners to ensure timely resolution.

The ideal candidate should have hands-on experience in RMA management, material coordination, inventory control, warranty processes and ERP/CRM systems, with the ability to manage multiple cases and ensure accurate documentation and follow-ups.

Key Responsibilities

1. RMA Management & Case Coordination

- Create, update and maintain RMA tickets in Zoho Desk or other designated company systems.
- Manage the complete RMA lifecycle, ensuring timely tracking and closure of all cases.
- Coordinate with internal teams, OEMs and vendors for troubleshooting, repair approvals, replacements and warranty claims.
- Monitor pending cases and proactively follow up on approvals, repair progress, replacement dispatches and unresolved issues.
- Ensure all RMA cases are updated with accurate information and supporting documentation.

2. Warranty Verification & OEM Coordination

- Verify warranty eligibility against purchase invoices, shipment dates, contracts and OEM warranty terms.
- Coordinate with international and domestic OEMs and vendors for RMA approvals, repair authorizations and replacement arrangements.




- Follow up on warranty claims and ensure timely resolution in accordance with agreed timelines and OEM policies.
- Maintain records of warranty status, OEM references, repair updates and replacement commitments.

3. Material & Inventory Coordination

- Coordinate with Stores / Warehouse teams for the receipt, identification, inspection and dispatch of faulty equipment.
- Verify equipment models, serial numbers, accessories and physical condition against RMA documentation.
- Maintain accurate records of equipment sent for repair, replacements received and materials pending return to OEMs.
- Track equipment movement and ensure proper reconciliation of material records.
- Coordinate with relevant internal teams to minimize delays in equipment availability and replacement.

4. Logistics & Documentation

- Coordinate domestic and international shipments of faulty equipment and replacement materials.
- Ensure appropriate shipping documentation is maintained, including invoices, packing lists and relevant customs or re-export documentation, wherever applicable.
- Coordinate with logistics partners and OEMs to track shipments and resolve delivery-related issues.
- Ensure all equipment movements are supported by appropriate documentation and traceable records.

5. System Management & MIS Reporting

- Maintain accurate and up-to-date RMA records in Zoho Desk, Zoho Inventory or other designated ERP/CRM systems.
- Ensure each case captures ticket number, equipment details, serial number, warranty status, OEM reference, shipment details and current status.
- Prepare and share weekly MIS reports covering open, pending, resolved and closed RMA cases.
- Highlight ageing cases, delayed approvals and unresolved issues to the reporting manager.




- Maintain proper documentation and records to support internal reviews and operational reporting.

Qualifications & Experience

- Graduate in any discipline; a qualification in Supply Chain Management, Logistics or Operations will be an added advantage.
- 5+ years of relevant experience in RMA management, material management, supply chain coordination or inventory operations.
- Hands-on experience in managing equipment repairs, warranty claims, replacements and OEM coordination.
- Experience working with ERP / CRM systems such as Zoho Desk, Zoho Inventory or equivalent platforms.
- Understanding of inventory management, serial number tracking, logistics coordination and warranty processes.
- Exposure to international OEM coordination and import/export documentation will be an advantage.
