Role Overview

We are looking for a highly organized, proactive, and execution-focused Executive Assistant to work closely with senior management.

This role requires exceptional follow-up skills, strong coordination ability, high integrity, and the capability to ensure tasks are completed efficiently and on time. The candidate will act as a key bridge between leadership, clients, and internal teams while also supporting business development activities.

Key Responsibilities

● Act as the primary coordination point between the Principal/Partners, clients, and internal teams.

● Manage executive calendars, meetings, appointments, and reminders.

● Draft official letters, emails, and internal communication.

● Maintain strict confidentiality and professional standards.

● Coordinate and execute assigned personal and professional tasks of senior management (appointments, bookings, vendor coordination, etc.).

● Prepare reports as required and maintain organized documentation.

● Coordinate with different departments for smooth information flow.

● Assist in data management, tracking sheets, and internal reporting.

● Support management in research tasks and online information gathering when required.

Technical Skills Required

● Strong working knowledge of MS Office (especially Excel & Word)

● Excel proficiency in:

o Pivot Tables

o VLOOKUP / HLOOKUP

o Linking sheets

o Basic formulas and reporting

● Ability to draft skilled emails and official letters independently

● Good internet research skills

● Basic CRM knowledge preferred

● Shorthand (preferred but not mandatory)

Qualifications & Experience

● Graduate from Secretarial College

● MBA / Diploma in Business Administration or Sales (preferred)

● 3-4 years of experience in Executive Assistant or similar role. Overall experience may be more than 3 years

● Experience in interior design / real estate industry preferred

● Fluent in spoken and written English

● Ability to interact effectively with clients, senior management, and vendors

● Willingness to travel to project sites as and when required

● Site travel percentage – Less than 10% within Mumbai region, Pune region and as per company project requirements.

Pay: ₹25,000.00 - ₹30,000.00 per month
