Role summary

We are looking for an Operations Coordinator to manage the post-sale installation process, from booking and customer communication through to material ordering, delivery and installer follow-up. The successful candidate will keep installation projects on schedule, organized and well documented, and will be the main point of contact between the sales team, our installers and our customers.

Key responsibilities

- Booking and scheduling
- Book installations into the calendar once a sale is confirmed, and manage changes, cancellations and rescheduling
- Confirm job details with customers, including site access, timing and any special requirements
- Balance installer capacity across jobs to avoid double-booking and unnecessary travel
- Customer communication
- Call customers to confirm bookings, explain next steps and keep them informed of progress
- Respond to customer and installer enquiries promptly and professionally
- Escalate issues to the relevant manager when a job is at risk
- Procurement and materials
- Place material orders for each confirmed job, based on the approved quote and design specifications
- Confirm stock availability and supplier lead times, and arrange substitutions with the technical team where needed
- Track orders and coordinate delivery to the site or to the installer before the scheduled date
- Installer management
- Assign installers to jobs through our scheduling system, matching skills, licences and availability




- Follow up with installers before and after each job to confirm readiness, progress and completion
- Collect job completion records, photos and documentation for each installation
- Reporting and records
- Keep the CRM and job management system accurate, with clear status updates for every job
- Track installation backlog, delays and delivery issues, and report them to management
- Support compliance by making sure installation records, certificates and evidence needed for government rebates are complete and filed correctly

Qualifications and experience

- Previous experience in operations, scheduling, dispatch or project coordination, ideally within HVAC-R, electrical, plumbing or building services
- Experience ordering materials or managing supplier relationships is highly desirable
- Familiarity with job management or field service software and CRM systems
- Understanding of installation workflows and documentation requirements is an advantage
- Valid Australian driver’s licence is an advantage

- Excellent organisation and time management, with the ability to manage several jobs at once
- Clear, confident phone and written communication
- Solid attention to detail with records and documentation
- Proactive follow-up and the ability to escalate issues early
- Comfortable working with technical staff, installers and customers

Pay: ₹50,000.00 - ₹60,000.00 per month
