2. ABOUT THE ROLE
IWLD is looking for an organised, energetic Event Manager who will own every team event from the first idea to the last bill. Every month, you will plan and run one event for our team members — a function or celebration one month, a picnic or outing the next — for our people in Goa as well as our team members in Delhi NCR.
You will not wait to be told what to do. You will come to Richa Kharb with a ready plan: the dates on which the event can happen, how many team members are available, the venue, the food, and a budget — all built around what the team actually prefers. Once approved, you will run the event end-to-end so that everyone simply shows up and enjoys it.
You will also support Richa Kharb on festival-related shoot events — Karwa Chauth, Diwali and other festivals — by managing everything the shoot needs, from planning and arrangements to the day itself.
3. KEY RESPONSIBILITIES
A. Monthly Team Events — Goa & Delhi NCR
- Plan and run at least one team event every month — for example a function, festival celebration, picnic or outing — and keep a 12-month event calendar so no month is missed.
- Cover all IWLD team members: Margao Office, the Benaulim sites, and our team members in Delhi NCR (Gurgaon) — either as a joint event or a separate event for each location, as approved.
- Keep each month's event fresh — rotate the type of event so team members stay interested and involved.
B. Planning & Proposal (before every event)
- Bring dates on which the event can be held, after checking team availability with Reporting Managers — shifts, leaves,
shoot days and student-facing duties — so that daily work is not disrupted.
- Collect team members' preferences (activity, timing, food — veg / non-veg / Jain and other requirements) through a easy Google Form or Sheet.
- Shortlist the venue, food, transport and decor, and take quotes from at least two vendors for each major item.
- Prepare a one-page event plan — date, headcount, venue, menu, schedule and budget — and get it approved by Richa Kharb before booking anything or paying any advance.
C. Execution — Start to End
- Book the venue, food, decor and transport; confirm the final headcount; and share the invitation and schedule with all team members on time.
- Prepare a run-sheet and checklist for every event, and be present on the ground from setup to close to handle last-minute changes.
- Keep team members safe — track attendance, arrange safe travel to and from the venue (especially for outings and late events), and keep emergency contacts handy.
- Close every event properly: clear vendor payments through Accounts, collect all bills and settle any advance taken.
D. Festival & Shoot Events with Richa Kharb
- Maintain a festival calendar (Karwa Chauth, Diwali, Holi, Navratri, Raksha Bandhan and others) and raise each upcoming festival shoot with Richa Kharb at least 3–4 weeks in advance.
- Plan everything the shoot needs — date, location, props, decor, festive outfits (with the Makeup & Wardrobe team), food items and participants — and confirm availability of videographers, side artists and team members.
- Make sure everything is ready before the shoot day and manage the event from setup to pack-up, so the BTV team can focus only on shooting.
E. Budget, Reporting & Records
- Keep every event within the approved budget and maintain an event budget tracker in Google Sheets with all bills attached. Any spend outside the approved budget needs Richa Kharb's prior approval.
- Share a short post-event report within 2 working days — attendance, actual spend vs budget, photos, team feedback, and what to improve next time.
- Build and maintain a vendor list (venues, caterers, decorators, transport, props) for Goa and Delhi NCR, with contacts and rates.

- Festival shoot events are fully ready before shoot day, with nothing missing on set.
- Team members look forward to events and give positive feedback; attendance stays high.
- Every event is closed with bills settled and a post-event report shared within 2 working days.
7. NOTE
All event spending follows IWLD's Approval Authority limits. Working hours on event days, weekends or holidays will be as per company policy and the Appointment Letter. Full training on IWLD's processes, templates and vendor approvals will be provided during onboarding.
