We are looking for a proactive, well-organized, and presentable Project Coordinator with 2–5 years of experience in PHP-based project coordination. The ideal candidate should have a good technical understanding of PHP development, excellent communication and interpersonal skills, and the ability to coordinate effectively with developers, project managers, and clients.

We are looking for someone with a pleasant personality, a positive attitude, and strong coordination skills who can ensure smooth project execution and timely delivery.

Key responsibilities:

Client communication

- Lead regular client calls and status meetings independently, including kickoffs, reviews, and UAT sessions.
- Write clear, well-structured client emails, weekly status reports, and meeting minutes with agreed actions and owners.
- Translate client requests into well-defined tasks with acceptance criteria before they reach the team.
- Manage expectations on timelines and scope, and raise change requests when a request falls outside the agreed scope.

Project delivery

- Plan and track WordPress, Shopify and other Php framework projects from kickoff to launch.
- Coordinate MERN stack projects alongside the tech lead: sprint planning, backlog grooming, and tracking feature delivery.
- Break work into tasks, assign them, set deadlines, and follow up daily to keep work moving.
- Spot risks, blockers, and dependencies early, and escalate to the Founder with a proposed solution.
- Run QA and UAT coordination, including bug tracking, retesting, and launch checklists (hosting, DNS, SSL, backups, redirects).
- Coordinate ongoing maintenance and support retainers, including ticket triage and response times.

Process and reporting

- Keep project tools up to date (boards, timelines, task status) so anyone can see the real state of a project.
- Review team timelogs for accuracy and ensure they are clear enough to share with clients.
- Maintain project documentation: scope, credentials handover,



change logs, and launch notes.
- Support the Founder with estimates, proposal inputs, and scope documents for new work.

Must-have requirements

- 2 to 5 years of project coordination or project management experience in a web agency or software services company.
- Fluent, confident spoken English: able to lead a client call with international clients without support.
- Strong written English: explicit, professional emails, status reports, and documentation with minimal editing needed.
- Hands-on familiarity with WordPress and Shopify.
- Working understanding of how a MERN stack application is built: frontend vs backend, APIs, databases, environments, and deployments.
- Experience running projects in a task management tool such as Jira, ClickUp, Asana, Trello, or Monday.com
- Comfort with Google Workspace, especially Sheets for trackers and reports.
- Proven ability to handle several projects at once, prioritise, and follow up until work is done.
- Quick learner: picks up new tools, platforms, and client industries fast, and is productive on an unfamiliar project within days.
- Strong judgement: handles everyday issues without step-by-step instructions, and knows when to decide alone and when to escalate.
- Ownership mindset: you flag problems early and come with options, not just updates.

Good to have

- Prior experience as a WordPress, Shopify, or full-stack developer, or as a QA engineer.
- Experience working with international clients in the UAE/Gulf, Australia, Europe, or the US.
- Exposure to Agile/Scrum ceremonies on development projects.
- Basic knowledge of hosting and launch tasks: DNS, SSL, staging environments, Git, and backups.
- Familiarity with Figma for reviewing designs and leaving feedback.
- Experience on Upwork or similar platforms, managing client communication through them.
