Position: Import & Purchase Executive

Role Summary The International Import & Purchase Executive is responsible for managing end-to-end import procurement activities, vendor coordination, cost control, documentation, and inventory planning for imported and local materials. The role involves close coordination with vendors, accounts, QC, factory, and management to ensure timely procurement, quality compliance, and cost efficiency.

Key Responsibilities

International Import Procurement

· Send order enquiries to multiple international vendors, obtain quotations, and prepare comparative statements.

· Negotiate prices, payment terms, delivery timelines, and quality specifications with vendors.

· Finalize import purchase orders after negotiations and approvals.

· Maintain continuous coordination with international vendors until order confirmation and dispatch.

· Coordinate with the Accounts department for import payment terms, advances, and payment execution.

· Share Proforma Invoices (PI) and finalized orders with junior purchase staff for shipment follow-up.

· Track shipment progress and coordinate with vendors for timely dispatch and documentation.

Costing & Documentation

· Prepare and maintain shipment-wise cost sheets covering material cost, freight, duties, and landing cost.

· Maintain packaging and labeling details and share required information (MRP, item name, specifications, customer requirements) with suppliers.

· Update and maintain import ledger Excel sheets as per payments made.

· Handle escalation matters related to Credit Notes (CN) / Debit Notes (DN) with importers.

· Monitor and maintain pricing across product segments for each import.

Vendor Development & Market Intelligence





· Develop recent international vendors through platforms like Alibaba and Made-in-China.

· Conduct vendor research to identify traders vs manufacturers and verify credibility.

· Coordinate with vendors via WhatsApp, WeChat, and email.

· Pull and analyze Volza data to track competitor pricing, quantities, imported materials, and authorized vendor existence.

Inventory & Stock Management

· Maintain current factory stock records using Google Sheets and update them with reference to the ZOHO system.

· Analyze stock levels, reorder points, and consumption trends.

· Prepare indents based on stock analysis and reorder levels and share them with management for approval.

Local Procurement

· Source local vendors for domestic material procurement.

· Prepare Purchase Orders (POs) for local vendors.

· Track GRN (Goods Receipt Notes) and coordinate with stores/accounts for closure.

Manufacturing & Technical Coordination

· Coordinate with the QC team regarding material specifications, quality standards, and approvals.

· Support item code creation using existing item code lists and product specifications.

Coordination & Reporting

· Daily coordination with international import vendors and local suppliers.

· Coordinate with Accounts, QC, Factory, and Management for smooth procurement operations.
