Position : Vice President Planning

Reports to : CEO

Experience : 15+ years

Education : B.E. / B.Tech. in Civil, Mechanical, or Electrical Engineering

Role Overview

1. The Vice President Planning leads the company’s integrated planning function and is accountable for planning performance across the project portfolio.
2. Planning encompasses an end-to-end approach, from receipt of the customer order through project completion, formal handover, and close-out.

3. The role oversees detailed resource planning for project execution, including manpower, materials, tools and tackles, engineering aids, vendors, subcontractors, internal support resources, and site infrastructure.

4)The role ensures accurate measurement of completed work and analysis of variances against the original bill of quantities (BOQ), including non-tender items, scope and specification changes, and subcontractor works.

1. The function is milestone-driven and requires transparent reporting of company performance against approved schedules and commitments.
2. The role coordinates with the PMO to support timely project execution and with external stakeholders to facilitate the timely collection of receivables

3. Frequent and effective engagement with clients, project management consultants (PMCs), stakeholders, and senior management is required to resolve issues and escalations affecting project progress.

4. The role champions the adoption of appropriate technologies, tools, systems, and processes—including ERP and project management software and methodologies—and ensures effective implementation throughout the Planning department.
5. The role is accountable for budgets, costs, customer experience, and employee morale, and must demonstrate the highest standards of ethics and integrity.

The incumbent must be able to operate effectively in a matrix organization and manage the dotted-line relationships critical to organizational performance.

Key Responsibilities

- Oversee project planning, team leadership, and project management to ensure complex projects are delivered on schedule.
- Determine appropriate engineering methods and milestone sequences for each stage of the project.

- Set activity targets for each phase of the project plan and ensure alignment with client specifications.
- Estimate project timelines and costs using appropriate planning tools, including Microsoft Project (MSP).
- Monitor day-to-day project progress and provide accurate weekly and monthly reports, promptly highlighting potential delays or schedule slippages.

- Compare planned progress with actual performance and report variances to the Project Manager.
- Assess the impact of alternative execution approaches.
- Track and report material usage and wastage.

- Conduct monthly valuations of work in progress and forecast final costs and sales.
- Analyze expenditure and identify cost-saving opportunities.

Additional Responsibilities

- Attend critical meetings and provide current status updates to vendors, supervisors, and other stakeholders.
- Manage overall project communications.
- Drive continuous improvement in collaboration with leadership teams.

- Identify gaps in key performance areas and plan initiatives to improve the overall efficiency of the Planning and Billing department

Work Experience

- Minimum 15 years of experience in Planning and/or Billing in the interiors or construction industry.

- Experience with ERP systems, project management software, and Microsoft Project (MSP).




- Demonstrated ability to identify cost risks and develop mitigation and contingency plans.
- Strong estimation Skills.

- Ability to comprehend, analyze, and interpret complex documents.
- Ability to evaluate multiple options and solve complex problems effectively.

Technical and Functional Competencies

- Strong knowledge of project management and planning practices in the interiors or construction industry.
- Knowledge of project management methodologies and planning tools, including Microsoft Project (MSP); PMP certification is preferred.

- Proficiency in Microsoft Office applications.
- Exceptional leadership and strong time, task, and resource management skills.
- Robust management capability with demonstrated ability to manage profitability.
