Job Summary

The Front Office Executive is responsible for managing the reception area, welcoming visitors, handling incoming and outgoing calls, responding to customer enquiries, coordinating appointments, and providing administrative support. The role requires excellent communication, interpersonal, organizational, and customer service skills to ensure a qualified and welcoming workplace.
Key Responsibilities
Reception Management
Welcome and greet visitors, clients, and guests professionally.
Maintain a clean, organized, and presentable reception area.
Guide visitors to the appropriate departments or employees.
Manage visitor entries and maintain visitor registers.
Telephone and Communication




Handle incoming and outgoing telephone calls.
Respond to enquiries and transfer calls to the appropriate departments.
Take messages and ensure timely communication.
Manage official emails and correspondence.
Customer Service
Attend to customer enquiries and provide accurate information.
Handle customer complaints professionally and escalate issues when required.
Maintain positive relationships with clients and visitors.
Administrative Support
Maintain records, files, documents, and registers.
Schedule appointments and coordinate meetings.
Assist with data entry, photocopying, scanning, and documentation.
Coordinate with internal departments for smooth office operations.
