About Us
We are a US-based group of medical products companies covering FDA-registered kit manufacturing, sterile supply distribution, direct-to-clinic sales, federal (GSA/VA) contracting, and imports from international factories. We are hiring one person to own day-to-day accounting across all five companies.
Role Summary
You will run day-to-day accounting for five companies: match and approve vendor invoices for payment, post customer payments, and reconcile our bank accounts. You will also handle a light purchase order workload (about 2–3 hours a week), placing POs with overseas factories and following them through to receipt and close-out. You do not decide what to buy and you do not release payments. You make sure every invoice, payment, and dollar is accurate, documented, and closed out on time.
Key Responsibilities
Accounts Payable
- Perform three-way match: purchase order, receiving record, and vendor invoice
- Investigate and resolve price, quantity, and receiving discrepancies with vendors and the warehouse
- Verify and approve incoming invoices for payment (payments are released by a separate team member)
- Maintain accurate vendor records and payables aging for each entity
Accounts Receivable & Cash
- Post customer payments received by check, ACH, and wire to the correct entity and invoice
- Reconcile bank statements to deposits for all entities monthly, and flag unidentified or missing items
Purchase Orders & Imports
- Place purchase orders with international factories based on orders provided by management
- Track each PO through production, shipment, and delivery; follow up with factories on dates, documents, and discrepancies
- Coordinate pickup of goods from factories with our freight forwarder; track shipments and containers through to arrival
- Collect and file shipping documents (commercial invoice, packing list, bill of lading)
- Close POs once goods are received and invoiced
General
- Keep each of the five companies' records separate and accurate
- Work in our ERP and accounting systems; suggest improvements to make processes faster and cleaner
- Report weekly on open POs, inbound shipments, invoice exceptions, and unapplied cash
Requirements
- Bachelor's degree in Commerce, Accounting, or Finance (B.Com / M.Com / MBA Finance)
- 3–6 years of US accounting experience, including AP, AR / cash application, and bank reconciliations
- Hands-on experience with purchase orders and three-way matching
- Working knowledge of US banking: checks, ACH, wires
- Experience with QuickBooks, NetSuite, or an ERP system; strong Excel skills
- Transparent written and spoken English for working directly with US staff, factories, and forwarders
- Available for 3–4 hours of daily overlap with US Central business hours
- Reliable home internet and power backup
Preferred
- Experience in medical devices, healthcare supplies, or regulated manufacturing
- Experience handling multiple companies / entities at once
- Experience with importing from China
- Experience coordinating with overseas suppliers and freight forwarders; familiarity with Incoterms (FOB, EXW, DDP) and import documents
- Comfort using AI tools and automation in daily work

- Direct employment with a growing US company, not an outsourcing firm
