Collect and validate site updates from vendors and internal personnel, consolidate store-wise progress, and prepare reports in each client’s prescribed format. Act as the client-facing contact for routine reporting, status clarification and reporting documentation, coordinating with Operations and Client Servicing to resolve discrepancies and secure complete closure records.
B. Key Result Areas
• Project master data and reporting setup
• Collection and validation of field updates
• Recce reports and technical information coordination
• Installation progress and completion reporting
• Client communication and reporting service
• Exception tracking and closure follow-up
• Documentation control and billing support
• MIS analysis and reporting improvement
The performance standards below are proposed starting expectations. Agree client formats, reporting cut-offs, response times and project-specific targets before assignment. Measure this role on reporting accuracy, timeliness, validation and escalation; operational execution remains with the responsible teams.
C. Duty Statements and 5 Performance Standards
Project master data and reporting setup
1. Create the project master from the approved brief, store list and scope; assign unique project and store identifiers and map client, location, vendor or internal team, planned dates and deliverables.
2. Agree report templates, status definitions, mandatory fields, evidence requirements, submission frequency and distribution with Operations, Client Servicing and the client.
3. Maintain controlled revisions to store lists, quantities, dates and scope; retain approvals and communicate changes to affected teams.
4. Performance standards: Set up the tracker before field reporting starts; map 100% of assigned stores without duplicate identifiers; use only approved scope revisions; record every authorised change with its date and source.
D. Collection and validation of field updates
1. Obtain daily updates from vendors and Brandola personnel using standard forms or approved reporting systems; follow up missing, late or incomplete submissions.
2. Check store identity, activity date, quantities, dimensions, remarks and photographs against the brief and reporting checklist; identify duplicate, mismatched or unclear evidence.
3. Reconcile conflicting updates with the responsible field owner; label unverified information clearly and maintain a record of corrections.
4. Performance standards:
Check 100% of received submissions before client issue; target at least 98% accuracy in mandatory report fields; log all missing inputs by the reporting cut-off and escalate overdue inputs the same working day. Never present unverified work as verified completion.
E. Recce reports and technical information coordination :
1. Compile store-wise recce reports covering measurements, site conditions, photographs, branding positions, access restrictions, installation constraints and other client-required information.
2. Check completeness and internal consistency; obtain missing details through Operations and route technical uncertainties to Design or the authorised technical owner.
3. Maintain the recce submission and approval tracker, including client comments, clarifications, revisions and handover of approved information for execution.
4. Performance standards: Submit complete recce packs within the agreed client timeline after validated inputs are received; include every mandatory field or an explicit exception; obtain authorised technical clarification before treating disputed measurements or specifications as final.
5. Installation progress and completion reportingMaintain store-wise planned, completed, pending, on-hold, rework and cancelled status using agreed definitions; record actual dates, installed quantities and balance scope.
6. Compile before-and-after photographs, installation checklists, site acknowledgements and other required completion evidence; distinguish field completion, internal verification and client acceptance.
7. Reconcile daily and cumulative totals by project, region and vendor or internal team; release approved progress reports and completion packs through the agreed channel.
8. Performance standards: Issue all scheduled reports by the agreed cut-off; reconcile store and quantity totals before issue; record completion only against the agreed evidence checklist; show acceptance and pending documentation separately.
F. Duty Statements and Performance Standards Continued :
1. Present clear daily, weekly and milestone reports; explain progress, pending work, data limitations and exceptions factually.
2. Acknowledge reporting queries, coordinate verified responses with Operations and Client Servicing, and record client comments and agreed reporting actions.
3. Participate in client reviews when assigned; circulate minutes and update action trackers. Obtain approval before communicating changed delivery dates, scope or commercial commitments.
4. Performance standards: Acknowledge queries within four working hours during agreed service hours; provide a verified response or committed response time within one working day, unless a different client requirement applies; circulate meeting actions within one working day.
G. Exception tracking and closure follow-up :
1. Maintain an exception register for inaccessible stores, permission issues, missing data, delays, damaged materials, rejected work, rework and client observations.
2.
Assign each exception to the responsible Operations, vendor, Design or Client Servicing owner with a target closure date; track ageing and follow up until supported closure.
3. Flag critical delivery risks immediately to the responsible manager and communicate approved client updates; verify closure evidence before changing status.
4. Performance standards: Log all known exceptions on the day reported; every open item must have an owner and due date; escalate critical issues immediately and overdue actions daily; close items only with supporting evidence or authorised confirmation.
H. Documentation control and billing support
1. Maintain organised project folders with consistent naming, store codes, document versions and approved access; keep reports and supporting photographs traceable to their source.
2. Compile agreed billing support, including recce or installation records, installed quantities, acknowledgements and client acceptance where required; reconcile them with Operations and Finance.
3. Protect client information, maintain approved backups and retention practices, and retrieve documentation for queries, audits and dispute clarification.
4. Performance standards: Ensure every submitted report and completion record is traceable to its store and source; provide billing documentation by the agreed deadline; flag missing approvals explicitly; use authorised access and sharing channels for all client data.
I . MIS analysis and reporting improvement
1. Prepare dashboards showing planned versus actual progress, pending stores, ageing, rework, documentation gaps and reporting compliance by vendor or internal team.
2. Analyse recurring delays and data errors; highlight actionable trends and recommend improvements to collection methods, templates and reporting controls.
3. Use Excel or approved tools to reduce manual duplication; check formulas, filters and dashboard totals before release and document changes to reporting logic.
Performance standards: Provide weekly analysis and a monthly consolidated dashboard by agreed dates; reconcile every dashboard to the master tracker; explain material variances and identify action owners; review recurring errors monthly and track corrective actions.
Job Factors:
1. Exposure to offline branding, POSM, retail rollouts, signage, recce or installation is desirable. Candidates from other industries may be considered if they demonstrate strong reporting and client communication skills.
K. Functional skills
1. Strong Excel skills covering PivotTables, lookup functions, SUMIFS, data validation, conditional formatting, charts and reconciliation. Ability to prepare transparent PowerPoint or PDF reports, organise photographic evidence, manage large store databases and work with shared folders or client portals. Power Query and Power BI are desirable. Ability to read basic recce sheets, measurements and installation checklists without assuming technical approval authority.
L. Behavioural competencies
1. Attention to detail; analytical thinking; transparent written and spoken communication; client service orientation; persistent follow-up; planning and prioritisation; ownership; teamwork; integrity and confidentiality. Ability to remain accurate under deadline pressure and report adverse facts promptly.
