The Operations CSR owns every EDI customer order from receipt to payment - making sure each purchase order is received correctly, entered accurately, shipped on time, invoiced cleanly and closed without chargebacks. You are the single point of contact for assigned EDI accounts, working with warehouse, logistics, finance and the customers' buying and supply-chain teams.

Location: Gurgaon, Haryana (on-site) | Shift: US shift (night shift IST) | Reports to: Sr. Operations Manager

Validate item numbers, UPC/GTIN, pricing, quantities, ship-to locations and requested dates against item master and customer agreements.
• Resolve EDI failures, rejected or missing documents with the EDI/IT team or VAN/EDI provider.

Process PO change and cancellation requests and keep the ERP in sync.

Order entry and allocation
• Ensure orders flow correctly into the ERP; Check inventory availability, coordinate allocation and communicate shortages to customers and planning.

Fulfilment and shipping

- Release orders to the warehouse and track pick, pack and ship against must-ship and must-arrive-by dates.
- Confirm invoices are generated and transmitted correctly and match PO, ASN and shipped quantities.

Work with finance on payment reconciliation, short payments and deductions.

- Coordinate with the China warehouse team on inventory availability, shipment readiness and dispatch timelines.
- Share PO,



labelling and packing requirements so goods leave China compliant and shipment-ready.
- Coordinate with 3PL partners on order release, pick/pack/ship and inbound receiving; resolve discrepancies to closure and monitor service levels.

Reporting and sales support

- Prepare reports on open orders, backlog, shipments, fill rate and chargebacks; share daily, weekly and monthly MIS with management.
- Support the sales team with order status, customer requirements and account updates.
- Support onboarding of current EDI trading partners, document SOPs and suggest improvements.

Bachelor's degree in any discipline.

- 2-5 years in order management, customer service or supply-chain operations, with at least 1 year handling EDI customers.
- Hands-on experience with an ERP system.
- Strong MS Excel: VLOOKUP/XLOOKUP, pivot tables, data cleanup and reconciliation.
- Clear written and spoken English for daily communication with customers, carriers and internal teams.
- Willingness to work US shift hours (night shift IST) from our Gurgaon office.

Experience with large retail or distributor EDI accounts and their vendor compliance programs.

- Familiarity with EDI platforms or VANs and retailer supplier portals.
- Experience onboarding new trading partners or testing EDI maps.
- Knowledge of freight terms, carrier booking and appointment scheduling.
