Job Overview

Pachouli Wellness Clinic is looking for an experienced and proactive Supply Chain professional with a strong background in the Aesthetic Dermatology, Cosmetology and Wellness industry. The candidate will be responsible for managing end-to-end procurement, inventory, stock audits, vendor coordination and distribution of clinical products, medicines, injectables and consumables across all clinic locations.

The candidate must be proficient in operating Clinicia software and should be comfortable accompanying the Founder during clinic visits to conduct operational audits, verify stock availability, monitor inventory management and ensure proper utilization of clinical supplies.

Key Responsibilities

1. Supply Chain & Procurement Management

- Manage end-to-end procurement of medicines, aesthetic products, injectables and clinical consumables.
- Coordinate procurement of Botox, dermal fillers, PRP/GFC-related consumables, skin boosters, peels, serums and other aesthetic procedure-related products.
- Ensure timely availability of all required medicines, injectables and products across clinic locations.
- Coordinate with authorized pharmaceutical companies, distributors and vendors for procurement and delivery.
- Negotiate with vendors to ensure competitive pricing and cost-effective purchasing.
- Maintain proper purchase orders, invoices, delivery records and vendor documentation.

2. Clinical Inventory & Stock Management

- Maintain centralized inventory records for all clinic locations.
- Monitor stock levels, minimum stock requirements and reorder levels.
- Track batch numbers, manufacturing dates, expiry dates and product consumption.
- Ensure FIFO/FEFO inventory practices wherever applicable.
- Identify expired, damaged, missing or slow-moving inventory and take corrective action.
- Maintain proper records of high-value products such as Botox, fillers and other injectables.




- Ensure proper storage conditions and temperature monitoring for temperature-sensitive products as per manufacturer guidelines.

3. Clinicia Software Management

- Must have strong practical knowledge of Clinicia software.
- Manage purchase entries, stock inward/outward, inventory updates and consumption records.
- Ensure accurate product and medicine entries in the software.
- Track clinic-wise stock transfers and consumption.
- Reconcile physical stock with Clinicia inventory records.
- Generate inventory reports and identify discrepancies.
- Train and guide clinic teams on proper inventory entries and software usage.

4. Clinic Audits & Founder Coordination

- Accompany the Founder during visits to different Pachouli clinic locations.
- Conduct regular physical stock audits across all clinics.
- Verify the availability and utilization of medicines, injectables and procedure-related products.
- Identify stock discrepancies, unnecessary consumption, wastage and inventory leakages.
- Check whether clinic teams are maintaining proper stock registers and Clinicia records.
- Prepare clinic-wise audit reports and share observations with the Founder.
- Ensure timely closure of audit observations and implementation of corrective actions.

5. Vendor & Distribution Management

- Develop and maintain relationships with authorized vendors and suppliers.
- Ensure timely delivery and distribution of products to different clinics.
- Verify the quality, authenticity and documentation of procured products.
- Coordinate product replacements, shortages, returns and vendor claims.
- Maintain a reliable vendor database with pricing and contact details.

6. Compliance & Documentation

- Ensure proper documentation of medicines, injectables and clinical products.
- Maintain purchase invoices, batch details, expiry records and applicable product licences/documentation.




- Ensure procurement only through authorized and compliant channels.
- Follow applicable storage, handling and traceability requirements.
- Ensure proper records for high-value and regulated clinical products.

Required Skills & Qualifications

- Graduate in any discipline; BBA, B.Com, Supply Chain or Operations Management preferred.
- 3–6 years of relevant experience in Supply Chain, Procurement or Inventory Management.
- Prior experience in Aesthetic Dermatology, Cosmetology, Dermatology Clinics, Medical Aesthetics or Wellness Industry is highly preferred.
- Strong practical knowledge of Botox, dermal fillers, injectables, aesthetic medicines and procedure-related consumables.
- Must be proficient in Clinicia software.
- Good knowledge of Excel, MIS reporting and inventory reconciliation.
- Strong vendor management and negotiation skills.
- Excellent auditing, analytical and coordination skills.
- Willingness to travel across Pachouli clinic locations and accompany the Founder for clinic visits.
- Strong ownership, accountability and attention to detail.

Key Performance Indicators (KPIs)

- 100% accuracy in physical stock versus Clinicia inventory.
- Zero avoidable stock-outs of critical clinical products.
- Timely procurement and distribution across all clinic locations.
- Effective control over product wastage, expiry and inventory losses.
- Timely completion of clinic-wise stock audits.
- Proper tracking of Botox, fillers and other high-value injectables.
- Accurate and timely MIS and inventory reporting.
- Vendor cost optimization and procurement efficiency.

Ideal Candidate Profile

We are looking for someone who has hands-on experience managing the supply chain of a multi-location aesthetic or wellness clinic, understands clinical procedures and their associated products, can independently manage Clinicia software, and is capable of conducting detailed inventory audits alongside the Founder.

The candidate should be operationally strong, detail-oriented and capable of taking complete ownership of the company's clinical supply chain.

Pay: ₹18,000.00 - ₹26,000.00 per month
