Position: Full Time
Hours: Monday to Friday 6:30am – 2:30pm (Negotiable)
Remuneration: Negotiable based on experience

Gollan Racing, led by Queensland’s premier metropolitan trainer Tony Gollan, is seeking a highly organised and motivated Office Manager to join our close-knit team.
Based at Eagle Farm infield stabling complex, Gollan Racing is a high-performance stable that has secured 12 consecutive Brisbane Metropolitan Trainers’ Premierships. With eight Group 1 wins and a Queensland Racing Hall of Fame induction in 2025, Tony’s elite team has prepared champions such as Antino (2025 Queensland Horse of the Year), Temple of Boom, Spirit of Boom, Vega One, Krone Jonker and Transatlantic, and continues to set records for statewide and metropolitan wins.
This is a rare prospect to work in a dynamic, professional, and results-driven environment at the forefront of Australian racing.
Key Responsibilities
Stable Administration & Compliance
- Stable returns and regulatory documentation
- Owner registration paperwork
- Registration of yearlings and transfer of ownerships
- Maintaining accurate records within Prism (new horses, ownership changes, updates)
- Recording and managing vet notes and treatment information
Horse Movements & Logistics
- Coordinating daily horse movements and transport
- Managing spelling, pre-training and training location updates
Owner & Client Communications
- Preparing horse progress updates
- Pre- and post-race communications
- Coordinating photo and video updates
Sales & Industry Liaison
- Assisting with online sales and ownership changes
- Liaising with race clubs, sales complexes, studs, and other industry stakeholders
Staff Administration
- Managing employee timesheets and rosters
- Assisting with recruitment and onboarding
General Office Management
- Document management, filing, scanning, correspondence, and ensuring smooth day-to-day office operations
About You
To be successful in this role, you will demonstrate:
- Excellent computer skills – Microsoft Office (Excel, Word) and Google Workspace (Gmail, Sheets, Forms)
- Experience with video editing software (Adobe Premiere Rush or similar)
- Prism software experience (advantageous)
- Outstanding written communication skills
- Exceptional organisational skills with the ability to prioritise and multitask
- A sharp memory with the ability to retain and recall detailed information across multiple horses, owners, and schedules
- High level of accuracy and attention to detail
- Confidence and professionalism as a first point of contact
- Ability to work independently and cohesively within a small team
- Comfort working in an animal-friendly environment
Industry experience is advantageous; however, initiative, enthusiasm, and professionalism will be highly regarded.
