Job Title: Executive Assistant

Role Summary
CodeMarks is seeking a highly organized, discreet, and proactive Executive Assistant to support senior leadership in managing day-to-day administrative, coordination, and communication responsibilities. The role requires excellent judgment, strong follow-through, and the ability to handle confidential information with professionalism. The Executive Assistant will act as a key coordination point between leadership, internal teams, external stakeholders, and business priorities.
Key Responsibilities
Executive Support
- Manage complex calendars, appointments, internal reviews, and external meetings for senior leadership.
- Coordinate travel arrangements, itineraries, accommodation, and related logistics where required.
- Prepare meeting agendas, briefing notes, presentations, and follow-up trackers.
- Screen, prioritize, and manage correspondence, including emails, calls, and official communication.
- Draft professional communication, internal notes, summaries, and executive updates.
Coordination and Follow-Up
- Track action items arising from leadership meetings and ensure timely follow-up with relevant teams.
- Coordinate across departments to support execution of strategic and operational priorities.
- Organize leadership reviews, board-related discussions, and confidential internal meetings as needed.
- Maintain records, documents, and files in an accurate and secure manner.
Administration and Documentation
- Support preparation of reports, business documents, policies, and internal memos.
- Maintain confidentiality of executive information, business decisions, employee records, and sensitive data.
- Assist in process improvement by creating trackers, templates, and administrative workflows.
- Support vendor, stakeholder, and partner coordination where relevant.
Office and Business Support
- Help leadership manage competing priorities and ensure smooth administrative operations.
- Handle special projects assigned by management with speed, accuracy, and accountability.
- Provide support for onboarding coordination, event scheduling, and cross-functional communication where needed.
Required Qualifications
- Bachelor’s degree in Business Administration, Management, Communications, or a related field.
- 3–7 years of relevant experience as an Executive Assistant, Executive Coordinator, or similar role.
- Strong written and verbal communication skills in English.
- High proficiency in Google Workspace and/or Microsoft Office, including Docs, Sheets, Slides, Word, Excel, and PowerPoint.
- Strong organizational skills with attention to detail and the ability to manage multiple priorities.
- Demonstrated ability to work with confidential and sensitive information.
Preferred Qualifications
- Experience supporting founders, CXOs, or senior executives in a rapid-paced organization.
- Exposure to remote or distributed team environments.
- Familiarity with project coordination tools and meeting management systems.
- Experience preparing management summaries, MIS trackers, and executive presentations.

Working Conditions

Strict adherence to confidentiality, data protection, and internal information security requirements is mandatory. Job Types: Full-time, Permanent, Contractual / Temporary
Contract length: 12 months
Pay: ₹500,000.00 - ₹700,000.00 per year
