Job Title: Sales Coordinator / Management Executive

Job Summary:
The Sales Coordinator / Management Executive will be responsible for managing end-to-end order processing, coordinating with internal departments, handling inter-unit transactions, and ensuring timely dispatch and customer communication. The role requires strong coordination skills, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities:
1. Order Management
- Receive and verify customer Purchase Orders (POs) for pricing, quantities, and delivery terms
- Coordinate with Design and PPC for approval and lead-time confirmation
- Create and track Sales Orders in ERP/Excel
- Update order progress status on a daily basis
2. Inter-Unit PO Preparation (Internal Transactions)
- Prepare inter-unit POs for material/job transfers between North, Pune, Uniotech, and Telge units
- Ensure accuracy of item codes, quantities, and transfer pricing with approvals
- Maintain detailed tracker for each inter-unit PO (issued, accepted, production, dispatch, closure)
- Coordinate with Accounts and PPC for billing and documentation (E-Way Bill, challan, invoice)
3. Dispatch & Logistics
- Coordinate with Stores for timely dispatch of materials
- Ensure all documentation is complete (Invoice, Packing List, LR, E-Way Bill)
- Share dispatch details with customers and internal teams
- Maintain daily dispatch tracker and update MIS before 5 PM
4. Customer & Internal Communication
- Send order acknowledgements and regular updates to customers
- Handle customer queries promptly (within 2 hours response time)
- Maintain updated records of customer communication and contacts
5. Reporting & MIS
- Update trackers: Order Booking, Dispatch, Pending Orders, and Inter-Unit POs daily
- Submit weekly Sales & Dispatch MIS to Sales Head (every Monday by 10 AM)
- Assist in quotation tracking and follow-up summaries
6. Cross-Functional Coordination
- Work closely with PPC, Design, Quality, Purchase, and Accounts teams
- Ensure timely execution of orders
- Escalate delays or issues proactively
- Follow company SOPs for communication and email protocols

- Good knowledge of MS Excel and ERP systems

- Time management and multitasking ability
- Basic knowledge of dispatch and documentation processess.
