About the Role The Controller of Examinations (CoE) is the principal officer responsible for the planning, conduct, administration, and integrity of all examination-related activities at the institution. As an Autonomous Engineering College recognised under the UGC (Institutions Deemed to be Universities) Regulations and affiliated to a Maharashtra State university (such as Savitribai Phule Pune University, Dr. Babasaheb Ambedkar Technological University, or equivalent), the institution holds the authority to conduct its own examinations, declare results, and issue mark statements — subject to the oversight of the affiliating university and applicable statutory bodies. The ideal candidate is a seasoned academic administrator who combines meticulous attention to detail with a thorough understanding of examination governance, statutory compliance, and student-centric processes. The CoE will serve as the primary custodian of examination confidentiality and institutional credibility. Responsibilities Examination Planning & Conduct Plan, schedule, and announce the academic calendar of examinations (Odd and Even Semesters, Backlog, Re-evaluation, and Special Examinations) in accordance with the Academic Calendar approved by the Examination Committee and affiliating university. Oversee the entire examination cycle — from question paper setting and moderation to printing, dispatch, hall-ticket generation, seating arrangement, invigilation, answer book collection, evaluation, and result declaration. Establish and operate a Question Paper Bank in strict confidentiality; coordinate with paper-setters, moderators, and examiners in compliance with UGC/AICTE norms. Supervise central assessment (CAP) activities and internal assessment records across all UG and PG engineering and technology programs. Statutory Compliance & Regulatory Liaison Ensure full compliance with the UGC (Promotion of Academic Integrity and Prevention of Malpractice in Higher Educational Institutions) Regulations, 2023 and all applicable amendments. Adhere to the Maharashtra Prevention of Malpractices at University, Board and Other Specified Examinations Act, 1982 and take appropriate action in cases of examination malpractice. Ensure compliance with AICTE norms regarding examination structure, grading,
and academic progression rules applicable to autonomous technical institutions. Coordinate with the affiliating university's examination department for submission of results, consolidation of marks, and issuance of final degree certificates. Maintain records and submit reports as required by the affiliating university, NAAC, NBA, and NIRF frameworks. Result Processing & Records Management Supervise result processing, grade/mark computation, and SGPA/CGPA calculation under the adopted credit-based system. Issue mark sheets, grade cards, transcripts, provisional certificates, and migration certificates with requisite authenticity safeguards. Maintain secure, long-term archival of examination records including answer scripts (as per statutory retention periods), attendance, and evaluation data. Implement and manage the institution's Examination Management System (EMS) or ERP platform. Grievance Redressal & Re-evaluation Implement a transparent and time-bound grievance redressal mechanism covering revaluation, re-totalling, challenge valuation, and answer book inspection as permitted under institutional and affiliating university regulations. Chair or serve on the Unfair Means (UFM) / Examination Malpractice Committee and ensure fair, consistent, and documented disciplinary proceedings. Governance & Administration Report to and advise the Principal/Director on all examination-related matters; serve as Member Secretary to the Examination Committee. Draft, update, and implement the institution's Examination Rules & Regulations, Autonomy Manual, and related policies. Coordinate with Heads of Departments for smooth conduct of practical examinations, viva-voce, project evaluations, and Continuous Internal Evaluation (CIE). Prepare and manage the Examination Cell budget; maintain accounts and expenditure records of examination fees. Lead, supervise, and build the capacity of Examination Cell staff.
Confidentiality & Integrity Enforce strict protocols for the security of question papers, answer books, evaluation data, and results. Ensure all processes within the Examination Cell are conducted with impartiality, transparency, and in conformity with principles of natural justice. Qualifications A postgraduate degree (M.E. / M.Tech. / M.Sc. / M.Phil. / MBA / M.A.) in a relevant discipline from a recognized university; Ph.D. preferred. Minimum 10 years of teaching/administrative experience in a degree-granting technical or higher education institution, with at least 3–5 years of direct experience in examination administration. Solid working knowledge of UGC Autonomy Regulations, AICTE norms, and Maharashtra-specific examination statutes including the Maharashtra Prevention of Malpractices Act, 1982. Demonstrated familiarity with Choice Based Credit System (CBCS) / Outcome Based Education (OBE) grading frameworks. Proficiency in Examination Management Software / ERP systems (e.g., EduNxt, Samarth, or equivalent). Proficiency in MS Office Suite (Word, Excel, PowerPoint) and ability to work with large data sets for result processing.
