Position Overview: The Accounts Administrator plays a key role in supporting the finance and administration functions for Australian Education Provide.
This position is responsible for the accurate and timely processing of financial transactions across Xero and aXcelerate, including daily bank reconciliation, invoice management, payroll preparation, agent commission reporting, student refund coordination, and statutory compliance obligations.
The role works closely with the Admissions team and Finance Manager, and contributes to the effective financial management and smooth day-to-day operations of the college.
Key Responsibilities:

Perform daily bank reconciliation in Xero and aXcelerate, ensuring all transactions are accurately recorded and discrepancies are identified and resolved in a timely manner.

Prepare and issue agent commission reports upon request, ensuring accuracy against agreed commission structures and eligibility criteria.

Input all billing invoices into Xero, including commission invoices, office expense invoices, contractor invoices, staff reimbursements, and any other applicable invoices, ensuring correct coding and timely entry.

Prepare fortnightly batch payment documentation, ensuring all payments are approved, correctly allocated, and processed within required timeframes.

Prepare fortnightly payroll documentation for staff,
coordinating with relevant departments to ensure accurate and timely payroll processing.
·
Coordinate student refund arrangements in accordance with instructions from the Admissions team, ensuring all refunds are processed accurately and in compliance with relevant policies.
·
Process invoice cancellations in aXcelerate and Xero as directed by the Admissions team following course cancellation notifications, maintaining accurate records throughout.
·
Assist in the preparation of quarterly BAS, IAS, superannuation, income tax returns, and other required financial and compliance documents, liaising with the external accountant or Finance Manager as required.

Monitor the accounts email inbox on a daily basis and respond to incoming correspondence in a qualified and timely manner, escalating as appropriate.
Key Selection Criteria / Skills: Qualification in Accounting and Finance, (Certificate IV or higher preferred).
Experience in accounting or administrative roles
Proficiency in MS Office, with working knowledge of Xero (required) and aXcelerate or similar student management systems.
Strong attention to detail and accuracy.
Excellent communication and organizational skills.
Ability to manage competing priorities and meet deadlines.
Commitment to confidentiality, integrity, and teamwork.
Desirable Attributes: Familiarity with student management systems.
Understanding of education compliance and reporting requirements.
A proactive attitude with a willingness to support colleagues across departments.
