Ltd. is a manufacturing company producing toys, children’s books, educational products, games, printing, packaging, and consumer goods. We operate manufacturing and dispatch from Greater Noida, with processing operations in Delhi. The company deals in both domestic B2B sales (distributors, retailers, institutional buyers) and international exports to GCC retail partners. As a growing manufacturing setup, we need a dependable accounts professional who can manage the day-to-day financial backbone of the business.
ROLE OVERVIEW The Accounts Assistant is responsible for managing Sterling’s day-to-day accounting operations — from voucher entry and invoicing to GST compliance and bank reconciliation. You will work in Tally Prime as your primary tool, maintain books of accounts, handle statutory filings, and ensure the company’s financial records are accurate, up-to-date, and audit-ready at all times. You will report to the company’s Senior Accountant / CA and coordinate closely with the MD on payment approvals, vendor settlements, and financial reporting.
This is a hands-on, execution-focused role — not a supervisory position. You will be the person who ensures every rupee is tracked, every invoice is recorded, and every filing deadline is met. In a manufacturing company, accounts doesn’t sit in isolation.
You will interact with the production team (for material costing), the sales team (for invoicing and receivables), vendors (for purchase bills and payments), and the warehouse (for stock reconciliation).
KEY RESPONSIBILITIES — DAY-TO-DAY BOOKKEEPING • Maintain complete books of accounts in Tally Prime / Tally ERP 9 — this is your primary workspace.
- Record all financial transactions: sales invoices, purchase bills, payment vouchers, receipt vouchers, journal entries, contra entries, and credit/debit notes.
- Prepare and issue GST-compliant sales invoices and proforma invoices for domestic and export orders.
- Record purchase entries with proper HSN codes, GST classification, and vendor details.
- Maintain petty cash records and ensure timely reimbursements with proper documentation.
- Process vendor payments as approved by the senior accountant / MD — prepare payment schedules and track outstanding payables.
- Track accounts receivable — maintain an ageing report, follow up on overdue payments from buyers and distributors.
- Record and reconcile expenses across departments: raw materials, labour, factory overheads, logistics, marketing, and administrative costs.
KEY RESPONSIBILITIES — BANKING &
- RECONCILIATION • Perform daily bank reconciliation in Tally — match bank statements with book entries, identify and resolve discrepancies.
- Manage multiple bank accounts — current accounts, CC/OD facilities, and any fixed deposits or investment accounts.
- Prepare and process NEFT/RTGS/IMPS payments, demand drafts, and cheque issuances.
- Maintain a payment tracker showing all pending, processed, and cleared payments with dates and references.
- Reconcile inter-company transactions between Sterling’s Greater Noida and Delhi (Okhla) units.
- Reconcile vendor ledgers and customer ledgers on a monthly basis — share confirmation statements and resolve mismatches.
KEY RESPONSIBILITIES — GST &
- STATUTORY COMPLIANCE • Prepare and file monthly GST returns: GSTR-1 (outward supplies), GSTR-3B (summary return), and GSTR-2B reconciliation (input tax credit matching).
- Ensure all invoices are GST-compliant with correct HSN/SAC codes, tax rates (5%, 12%, 18%, 28% as applicable), and e-invoicing requirements.
- Generate e-Way Bills for all inter-state and intra-state dispatches above the threshold limit.
- Reconcile Input Tax Credit (ITC) — match purchase data with GSTR-2B, identify mismatches, and follow up with vendors for missing invoices.
- Maintain GST-ready records at all times — the books should be audit-ready, not scrambled at quarter-end.
- Assist with TDS calculations, deductions,
and quarterly TDS return filing (Form 24Q, 26Q, 27Q).
- Support the CA during annual audit, income tax filing, and any statutory inspections or assessments.
- Maintain records for PF, ESI, and professional tax compliance for factory staff (if applicable).
KEY RESPONSIBILITIES — MANUFACTURING &
- INVENTORY ACCOUNTING • Record raw material purchases with proper classification: paper/board, wood, fabric, ink, adhesives, packaging material, hardware/components.
- Track material consumption against production output — support the production team in identifying wastage or excess consumption.
- Maintain stock registers in Tally for raw materials, work-in-progress, and finished goods.
- Perform periodic stock reconciliation — match physical inventory counts with Tally records and investigate variances.
- Assist in product costing: calculate landed cost of raw materials (including freight, duties, and handling) and per-unit production cost for finished goods.
- Record job work transactions — material sent to job workers (printing, lamination, die-cutting), goods received back, and job work charges.
- Maintain Delivery Challans for goods sent/received from job workers and inter-unit transfers.
KEY RESPONSIBILITIES — REPORTING &
- MIS SUPPORT • Prepare monthly Trial Balance, Profit &
- Loss statement, and Balance Sheet for management review.
- Generate weekly and monthly accounts receivable and payable ageing reports.
- Prepare cash flow statements and fund position reports as requested by the MD or CA.
- Provide data and reports to the MIS Executive for dashboard preparation (sales by product line, margin analysis, cost breakdowns).
- Prepare monthly expense summaries by cost centre (factory, office, marketing, logistics).
- Assist in preparing budgets and forecasts for the upcoming quarter/year. MUST-HAVE SKILLS Skill Area Requirement Tally Prime / ERP 9 This is non-negotiable. You must be proficient in Tally — voucher entry, ledger creation, group configuration, inventory management, GST setup, bank reconciliation, and report generation. We will test this in the interview. GST Knowledge Thorough understanding of GST structure — CGST/SGST/IGST, reverse charge, composition scheme, ITC rules, e-invoicing, e-Way Bills. You should be able to file GSTR-1 and GSTR-3B independently. MS Excel Comfortable with data entry, basic formulas (SUM, VLOOKUP, IF), sorting/filtering, and basic pivot tables for financial analysis.
Invoicing
Ability to prepare accurate, GST-compliant sales invoices, purchase entries, debit/credit notes, and delivery challans.
Bank Reconciliation
Daily reconciliation of bank statements with Tally entries. You must be meticulous — every rupee must match. Accuracy &
- Attention to Detail In accounts, there is no “approximately right.” Numbers must be exact. Entries must be correct the first time. Errors in GST filings or invoices create real business problems. Hindi &
- English Functional English for invoicing, email communication with buyers, and CA coordination.
Fluent
Hindi for vendor and factory team interactions. GOOD-TO-HAVE SKILLS • Experience with Tally’s manufacturing module — BOM (Bill of Materials), stock journals, job work entries.
- Knowledge of TDS provisions and quarterly return filing.
- Familiarity with export invoicing — commercial invoices, LUT for GST-free exports, FIRC tracking.
- Experience with Busy Accounting Software or Zoho Books as a secondary tool.
- CA Articleship or CA Inter / CMA Inter background — strong understanding of accounting standards.
- Experience in a manufacturing / FMCG / printing / packaging company where inventory accounting and job work tracking were part of daily operations.
- Familiarity with PF, ESI, and factory compliance requirements.
- Experience with e-invoicing and IRN generation on the GST portal. Generate e-invoices and e-Way Bills on the GST portal. 11:30 AM Process vendor payment requests — verify bills, check approval, prepare NEFT/RTGS transfers. 12:30 PM Record purchase entries from new vendor bills received.
Verify HSN codes, GST rates, and amounts. 1:00 PM Lunch break 2:00 PM Follow up on outstanding receivables — call/WhatsApp distributors with overdue payments. Update ageing report. 3:00 PM Record job work entries — material sent to lamination vendor, printing charges bill received, goods received back. 4:00 PM Reconcile petty cash. Record any factory-level purchases (hardware, consumables, transport charges). 4:30 PM Prepare reports as requested — outstanding payable list for vendor payment planning, cash position, or expense summary. 5:30 PM End-of-day review.
Ensure all day’s transactions are recorded. Back up Tally data. Note any pending items for tomorrow. WHAT THIS ROLE IS NOT • This is NOT a CA or audit role. You are executing day-to-day accounts, not providing advisory services.
The CA provides guidance; you execute.
- This is NOT a finance manager role. You will not make payment decisions or approve budgets — but you will prepare the data that enables those decisions.
- This is NOT data entry. While voucher entry is a core activity, you are expected to understand the accounting logic behind every entry, catch errors, and maintain the integrity of the books.
- This is NOT remote. Accounts in a manufacturing company requires physical presence — vendor bills arrive in person, physical stock needs verification, and factory-level expenses need real-time recording.

- Treat Tally as just data entry software and don’t understand the accounting principles behind the entries.
- Need to be reminded about filing deadlines and compliance dates.
- Are careless with numbers — transposing digits, wrong GST rates, or misclassified entries are unacceptable in this role.
- Want a purely desk-bound role with no interaction with the factory floor or vendors.
