Role Description

We are looking for a proactive and detail-oriented Event & Operations Executive based in Bengaluru to lead the planning and execution of events while managing day-to-day operational activities. This role combines creativity with precision, requiring strong organizational skills, stakeholder management, and the ability to deliver seamless experiences that align with business goals.

Roles and Responsibilities:

Event Planning & Execution

- Manage end-to-end event operations including venue booking, vendor management, logistics, and production.
- Create and maintain event timelines, budgets, and checklists to ensure smooth delivery.
- Conduct site visits and oversee event setups to align with requirements.
- Supervise event execution, ensuring all activities run according to plan.

Client & Stakeholder Management

- Serve as the primary point of contact for clients and participants.
- Coordinate planning, reservations, and logistics while maintaining a professional client experience.
- Drive engagement and satisfaction through effective communication and support.
- Manage pre and post-event processes, including evaluations and reporting.

In office Operations





- Travel domestically to oversee and manage event operations at venues.
- Provide on-site support, including after-hours and weekend events.
- Troubleshoot issues in real time and ensure seamless event delivery.

Vendor & Partner Coordination

- Source, evaluate, and negotiate with vendors to ensure cost efficiency and quality.
- Build and maintain strong relationships with suppliers, venue partners, and service providers.

Operational Oversight

- Ensure all operational activities are executed within agreed timelines and budgets.
- Maintain accurate records of logistics, contracts, expenses, and event details.
- Enforce event policies, procedures, and documentation for consistency and efficiency.
- Collaborate with management and team members to align operational goals with business objectives.

Skills:

- Event planning and execution (end-to-end lifecycle management)
- Vendor management and negotiation
- Budgeting and timeline management
- Logistics coordination (venues, transport, materials, etc.)
- Excellent verbal and written communication
- Stakeholder management and client servicing
- Problem-solving and crisis management (especially on-site)
- Attention to detail and organizational skills
- Flexibility to travel and work evenings/weekends
- Time management and ability to multitask

Good-to-Have Skills

- Leadership and ability to guide support staff or vendors
- Creativity and innovative approach to event experiences
- Proficiency with computers
- Experience with post-event reporting and analytics

Experience:

- 0 to 1 years of coordinating events.
