Accountant cum Operations Executive - India

About the Role

We are an international industrial products trading and export company establishing our first India presence. We are hiring our first India-resident employee to independently manage day-to-day operations of our newly incorporated India entity and to handle accounting and compliance in coordination with our Chartered Accountant firm in Mumbai.

This is fundamentally an export-oriented business. Practical, hands-on familiarity with export documentation, LUT-based GST filings, shipping bill workflow, and Foreign Inward Remittance Certificate (FIRC) handling is a core requirement of this role, not a nice-to-have.

The successful candidate will report to our international operations team and will be the operational face of the company in India.

Key Responsibilities

Operations & Sourcing (approximately 60% of the role)

- Identify, evaluate, and onboard Indian authorized distributors of European, Japanese, and American industrial brands.
- Manage RFQ processes end-to-end: prepare quote requests, follow up with distributors, negotiate pricing and delivery terms, verify availability and lead times.
- Handle receiving, physical inspection, quality verification, and dispatch of inbound goods for onward export.
- Prepare export documentation: commercial invoices, packing lists, shipping bills, certificates of origin.
- Coordinate export logistics with DHL, FedEx, UPS, and freight forwarders; track shipments through to delivery.
- Sample handling: coordinate physical inspection of new products, run functional checks where possible, and communicate findings to the international team.
- Manage vendor relationships and resolve issues on delivery, quality, pricing, and payments.
- Travel within India as required (primarily within Maharashtra; occasional out-of-state visits to distributor offices or supplier facilities).

Accounting & Compliance (approximately 40% of the role)

- Maintain daily bookkeeping using Tally Prime or Zoho Books.
- Handle bank reconciliation, purchase invoice processing, and vendor payment coordination.
- File monthly GST returns:



GSTR-1 and GSTR-3B, with disciplined GSTR-2B reconciliation for input tax credit.
- Monthly TDS payment and quarterly TDS return filings (Form 24Q, 26Q, 27Q for non-resident payments).
- Prepare and file quarterly GST refund applications (Form RFD-01 with Statement 3) under the LUT export scheme; maintain the documentation trail (export invoices, shipping bills, FIRC).
- Track and file Foreign Inward Remittance Certificates (FIRC) from the AD bank for every export receipt.
- Coordinate with the Chartered Accountant firm for statutory audit, income tax return (ITR-6), ROC filings (AOC-4, MGT-7), Form 3CEB transfer pricing, and any other CA-certified filings.
- Handle annual DGFT IEC update, LUT renewal at start of financial year, and qualified tax payments.
- Prepare vendor MSME status reports and half-yearly MSME-1 filings where applicable.
- Coordinate 15CA/15CB documentation for any outbound remittances.

Required Qualifications

- Bachelor's degree in Commerce (B.Com) or equivalent from a recognised university.
- 3 to 5 years of hands-on experience in accounts and operations at a trading, import-export.
- Working proficiency in Tally Prime or Zoho Books, or similar platforms.
- Practical experience with the GST portal, TDS filings, and export documentation.
- Strong written and verbal English communication skills.
- Comfort with Excel, email, WhatsApp Business, and cloud collaboration tools (Google Workspace or Microsoft 365).
- Willingness to travel within India as the role requires.

Preferred Qualifications

- CA Inter, CMA Inter, or CS Executive passed.
- Prior experience with the LUT export scheme and GST refund (RFD-01) filings.
- Experience in industrial products, engineering, instrumentation,



or B2B distribution sectors.
- Familiarity with international shipping documentation (INCOTERMS, HS codes, shipping bill process, courier vs freight decisions).
- Working knowledge of Hindi and one regional Indian language.
- Vendor onboarding experience for a growing organisation.

Location

Candidates must currently be based in the Greater Mumbai region, or be willing to relocate to Mumbai for this role. Applications from candidates unable or unwilling to be based in Mumbai will not be considered.

Reporting Structure

This role reports to our international operations team, with regular coordination with the Chartered Accountant firm in Mumbai for compliance matters and with the wider international team for order flow and product knowledge.
