About the role

We're looking for a Digital Marketing VA who leads with AI and automations. This is not a social media role. We need someone who has genuinely built automations from scratch, works with AI agents daily, and thinks about how technology can deliver better outcomes faster.

You'll work directly alongside the Directors across AI workflows, automations, operations, content, and client support.

How we work

We move rapid and think in outcomes, not tasks. Every piece of work has a reason behind it and we expect you to understand that reason, not just execute the task. We want someone who challenges the way things are done and brings better ideas without being asked.

What you'll be doing

AI and automations (primary focus)

- Working daily with our AI stack including Claude, ChatGPT, Paperclip, and Hermes
- Building and maintaining automations in Make.com and Zapier from scratch
- Helping integrate AI tools across agency workflows
- Identifying automation opportunities and flagging them to the Directors
- Keeping across new AI tools and bringing relevant ones to the table before being asked

Operations and systems

- Keeping Zoho updated daily and supporting client onboarding
- Tracking client deliverables and following up with the team
- Building and documenting SOPs and agency processes
- Research, data collection, and competitor analysis for clients and new business





Director and client support

- Managing Directors' inboxes and calendars
- Drafting emails and client communications
- Taking call notes and sending follow-up summaries

Content and digital marketing support

- Designing assets in Canva and uploading content in WordPress
- Light SEO content editing and image optimisation
- Pulling reports from Google Search Console and GA4

Basic bookkeeping

- Receipt collection, expense categorisation, and Xero reconciliation

Tools you must know

- Claude, ChatGPT, and AI agent workflows (non-negotiable)
- Make.com and Zapier (building from scratch)
- Zoho, Google Workspace, WordPress, Slack
- ClickUp or similar project management tools
- Xero (basic), Google Search Console, GA4

What we need from you

- Genuine hands-on experience building automations in Make.com or Zapier from scratch (non-negotiable)
- Someone who genuinely lives in the AI space. You follow developments, test new tools before you're asked to, understand how agents work, and bring that knowledge into your work every day. Using ChatGPT to write an email does not count. We want someone who knows what dropped last week, has an opinion on it, and is already thinking about how it applies to agency work
- Proven experience working inside a digital marketing agency (non-negotiable)
- Robust written and spoken English
- Someone who moves fast, delivers outcomes, and doesn't need to be managed




- A solid understanding of SEO basics and how digital marketing agencies operate
- Highly organised with strong attention to detail
