We are seeking a detail-oriented and experienced U.S. Payroll Processor to join our growing team. The ideal candidate will have comprehensive knowledge of U.S. payroll processing, federal and multi-state payroll tax compliance, payroll tax filings, and payroll accounting. The candidate should be able to independently manage payroll operations for multiple clients while ensuring timely compliance with all federal and state regulations.

Key Responsibilities

- Process payroll accurately and on time for multiple U.S. clients.
- Calculate, deposit, and reconcile federal, state, and local payroll taxes in accordance with applicable due dates.
- Prepare and file federal and multi-state payroll tax returns, including amendments and corrections.
- Prepare, file, and amend annual payroll forms including Forms W-2, W-3, and other required payroll reports.
- Register employers for state withholding tax and unemployment tax accounts and maintain compliance with applicable regulations.
- Prepare and file state unemployment tax returns and manage unemployment claims.
- Handle workers' compensation reporting, multi-state workers' compensation audits, and related documentation.
- Ensure compliance with federal and state payroll laws, including Family Leave, Paid Sick Leave, garnishments, child support orders, and other payroll deductions.
- Respond to and resolve federal and state payroll tax notices by communicating directly with tax authorities.
- Maintain accurate payroll records and prepare payroll-related reports.
- Perform payroll-related accounting entries and reconciliations using QuickBooks Desktop and QuickBooks Online.




- Communicate professionally with clients regarding payroll matters and ensure timely resolution of payroll-related issues.

Qualifications

- Bachelor's degree in Accounting, Finance, or a related field preferred.
- Minimum 2–5 years of hands-on experience in U.S. payroll processing.
- Strong knowledge of federal and multi-state payroll tax laws and payroll compliance.
- Experience with payroll tax deposits, payroll tax filings, amendments, and annual reporting.
- Experience handling employer withholding and unemployment registrations.
- Knowledge of workers' compensation requirements and multi-state audits.
- Experience managing unemployment claims and payroll tax notices.
- Familiarity with Family Leave, Paid Sick Leave, garnishments, and payroll compliance requirements.
- Proficiency in QuickBooks Desktop, QuickBooks Online, Microsoft Excel, and payroll software such as ADP, Gusto, Paychex, or similar platforms.
- Excellent organizational, communication, and problem-solving skills with strong attention to detail.
