- Role Summary:
- The Inventory In-Charge will be responsible for managing the complete inventory and store function, including receiving, inspection, storage, issuance, stock monitoring, reconciliation, and inventory reporting. The candidate should have strong knowledge of inventory management and preferably experience handling cold room, refrigeration, engineering, spare parts, or project-related materials.
- Key Responsibilities:
- 1. Inventory & Stock Management:
- Manage day-to-day inventory and store activities.
- Receive, verify, count, and record incoming materials.
- Maintain accurate stock records for all materials, spare parts, tools, equipment, and consumables.
- Monitor stock levels and ensure timely replenishment of required materials.
- Ensure proper identification, tagging, labelling, and storage of materials.
- Maintain minimum and maximum stock levels as required. `
- 2. Material Receiving & Issuance:
- Check received materials against Purchase Orders, invoices, delivery challans, and required specifications.
- Coordinate with Purchase and Project teams regarding material discrepancies or shortages.
- Issue materials to project, site, operations, and other departments against approved material requests.
- Maintain proper records of all inward and outward material movements.
- Ensure materials are issued according to approved requirements and authorization.
- 3. Cold Room / Refrigeration Material Management:
- Manage inventory of cold room and refrigeration project materials, spare parts, tools, and accessories.
- Maintain proper stock records for items such as PUF/PIR panels, cold room doors, refrigeration components, copper pipes, electrical items, controllers, sensors, fittings, hardware, and consumables.
- Understand basic material specifications and identify materials correctly.
- Ensure proper storage and handling of technical and project materials.
- 4. Stock Reconciliation & Physical Verification:
- Conduct regular physical stock counts and reconcile them with system records.
- Identify stock discrepancies, shortages, excess stock, damaged materials, and obsolete inventory.
- Investigate inventory variances and coordinate with concerned departments for corrective action.
- Maintain high inventory accuracy and ensure proper documentation of adjustments.
- 5. Inventory Documentation & MIS:
- Maintain GRN, stock registers, material issue slips, transfer records, and other inventory documents.
- Update inventory transactions in ERP / Inventory Management Systems.
- Prepare daily, weekly, and monthly inventory reports.
- Maintain records of slow-moving, non-moving, damaged, and obsolete inventory.
- Provide inventory data and reports to management as required.
- 6. Store Management & Material Handling:
- Ensure proper arrangement and systematic storage of materials.
- Maintain cleanliness, safety, and discipline within the store area.
- Follow proper material handling and storage procedures.
- Ensure materials are protected from damage, moisture, loss, or deterioration.
- Coordinate with housekeeping, security, and other teams for smooth store operations.
- 7. Coordination with Internal Teams:
- Coordinate with Purchase, Projects, Engineering, Operations, Accounts, and Site Teams regarding material requirements.
- Inform the Purchase team about low-stock and replenishment requirements.
- Coordinate with Project and Site teams for material dispatch and availability.
- Support Accounts and Purchase teams with material-related documentation.
- Ensure timely availability of materials for project and operational requirements.
- Required Qualifications:
- Bachelor's degree / Diploma in Logistics, Supply Chain Management, Commerce, Operations, or a related field.
- Certification in Inventory Management / Supply Chain Management will be an added advantage.
- Experience Requirements:
- 3–6 years of experience in Inventory / Stores / Warehouse Management.
- Experience in Cold Room, Cold Storage, Refrigeration, HVAC, Engineering Projects, Logistics, or Industrial Equipment will be preferred.
- Candidates who have handled technical materials, refrigeration spare parts, project materials, and engineering inventory will be preferred.
- Practical experience with ERP-based inventory management and stock reconciliation is essential.
- Skills & Competencies:
- Strong knowledge of Inventory and Store Management.
- Experience in material receiving, issuance, stock control, and reconciliation.
- Good understanding of cold room, refrigeration, engineering, spare parts, or project materials will be preferred.
- Knowledge of GRN, Purchase Orders, stock registers, material issue notes, and inventory documentation.
- Strong MS Excel skills and experience with ERP / inventory management software.
- Good analytical and problem-solving skills.
- Robust coordination, communication, and follow-up abilities.
- High attention to detail and accuracy.
- Ability to manage multiple inventory activities and meet deadlines.
- Strong understanding of stock control and warehouse safety practices.
