Job Description: Operations Manager

Position Overview

We are seeking a dynamic and results-driven Operations Manager to lead and oversee our pre-medical checkup operations. This pivotal role ensures the seamless execution of medical examination processes, coordination with our Insurance Company (IC) partners, and delivery of high-quality diagnostic services within stipulated timelines. The ideal candidate will be a strategic thinker with strong operational acumen, exceptional leadership capabilities, and a proven track record of driving efficiency and excellence in healthcare or insurance-related operations.

Key Responsibilities

1. Operational Management

- Oversee End-to-End Operations: Manage the daily operations of pre-medical checkup activities, including scheduling of appointments, sample collection processes, and accurate report generation to ensure smooth and uninterrupted service delivery.
- Coordinate Cross-Functional Teams: Ensure effective coordination between medical phlebotomists and Diagnostic Center (DC) administrative staff, facilitating timely and complete medical assessments for every case.
- Ensure Protocol Compliance: Verify that all medical checks are conducted strictly in accordance with Insurance Company (IC) prescribed protocols, maintaining the highest standards of quality and regulatory adherence.
- Monitor Turnaround Times (TAT): Track and manage TAT meticulously, ensuring all medical reports are delivered to the Insurance Company (IC) within stipulated deadlines to prevent any lapse in service commitments.
- Drive Continuous Improvement: Monitor system performance, proactively identify operational bottlenecks, and implement effective solutions to resolve issues, optimize workflows, and enhance overall operational productivity.

2. Coordination & Communication

- Serve as Primary Liaison: Act as the principal point of contact between the company and the Insurance Company (IC) underwriting and claims teams, fostering strong and transparent working relationships.
- Manage Appointment Scheduling: Coordinate with all IC branch managers to plan, schedule, and execute all medical appointments efficiently and in alignment with business requirements.
- Resolve Queries and Discrepancies: Address and resolve any discrepancies or queries raised by the Insurance Company (IC) regarding medical reports, working closely with DC Partners to ensure accurate and satisfactory outcomes.




- Maintain Clear Communication Channels: Ensure consistent and clear communication with the Insurance Company (IC) regarding appointment scheduling, execution status, and reporting requirements to keep all stakeholders informed and aligned.
- Coordinate with Quality Control: Liaise with the QC Head for the release of reports for cases that are completed and finalized, ensuring quality standards are upheld before delivery.
- Collaborate with Human Resources: Coordinate with the HR Manager for the hiring and onboarding of staff and doctors, ensuring the operations team is adequately staffed with qualified personnel.

3. Quality Assurance & Compliance

- Ensure Full Compliance: Guarantee 100% compliance with Insurance Company (IC) guidelines and standard operating procedures (SOPs) across all operational activities.
- Conduct Regular Reviews: Facilitate weekly meetings to assess goal achievement regarding case executions, maintaining supreme accuracy and quality in all deliverables.
- Mitigate Operational Risks: Proactively identify and mitigate operational risks, including the detection and prevention of fraudulent or incomplete reports, safeguarding the integrity of the process.
- Stay Updated on Policy Changes: Keep abreast of any changes in Insurance Company (IC) underwriting policies and promptly train the team to ensure seamless adoption and continued compliance.

4. Team Leadership

- Recruit and Develop Talent: Lead the recruitment, training, and ongoing mentorship of team members, building a highly skilled and motivated workforce.
- Conduct Performance Reviews: Perform regular performance evaluations and implement structured improvement plans to enhance individual and team performance.
- Cultivate Professional Culture: Foster a workplace culture rooted in accountability, punctuality, and qualified ethics, inspiring the team to uphold the organization's values and standards.

5. Reporting & Analytics

- Prepare Comprehensive Reports: Develop weekly and monthly MIS reports tailored to the Insurance Company (IC) engagement,



covering case volumes, turnaround times, rejection rates, and operational costs.
- Track and Optimize KPIs: Monitor key performance indicators (KPIs) and key result areas (KRAs), recommending and implementing process improvements to drive operational excellence.
- Present Strategic Insights: Deliver operational insights and performance summaries to senior management, highlighting trends, challenges, and opportunities for growth.
- Evaluate Team Effectiveness: Assess individual performance reviews and overall team effectiveness in collaboration with senior management to ensure alignment with organizational goals.

Qualifications & Requirements

Education

- Bachelor's degree in Business Administration, Healthcare Management, or a related field.
- Master's degree (MBA) is highly preferred, demonstrating advanced strategic and managerial capabilities.

Experience

- Minimum 5+ years of experience in operations management, preferably within healthcare, diagnostic services, or insurance-related medical services.
- Strong preference for candidates with direct experience working with an Insurance Company (IC) or other life insurance organizations.
- Hands-on experience in managing teams and coordinating effectively with diverse internal and external stakeholders.

Skills

- Medical Knowledge: Strong understanding of medical examination protocols and diagnostic procedures.
- Leadership: Excellent leadership and people management skills with the ability to inspire and guide teams toward achieving shared objectives.
- Technical Proficiency: Advanced proficiency in MS Office applications (Excel, Word, PowerPoint) and operational management software.
- Problem-Solving: Strong problem-solving and decision-making abilities to address complex operational challenges effectively.
- Resilience: Demonstrated ability to work under pressure and meet strict deadlines without compromising quality.
- Communication: Exceptional verbal and written communication skills, with the ability to convey information clearly and persuasively.
- Team Orientation: The ability to organize, motivate, and drive teams to consistently deliver desired outcomes.

Job Type: Full-time

Pay: ₹40,000.00 - ₹50,000.00 per month
