Job Description (JD)Designation: HR Associate

Department: Human Resources
Location: Hotel / Resort
Reports To: HR Manager / Unit HR Head

Job Summary

The HR Associate is responsible for supporting the day-to-day Human Resources operations of the hotel/resort. The role includes recruitment, onboarding, attendance management, employee relations, training coordination, HR administration, employee welfare, and compliance to ensure smooth HR operations and an excellent employee experience.

Key Responsibilities1. Recruitment & Staffing

- Coordinate manpower requirements with Department Heads.
- Source candidates through job portals, local references, campus drives, and employment exchanges.
- Schedule interviews and coordinate the recruitment process.
- Maintain the recruitment tracker and candidate database.
- Ensure timely closure of vacancies.

2. Joining & Onboarding

- Complete all joining formalities and collect employee documents.
- Verify KYC documents (Aadhaar, PAN, Bank Details, etc.).
- Conduct employee induction and orientation.
- Issue employee ID cards, uniforms, and appointment letters.
- Coordinate accommodation and staff meal arrangements for new joiners.

3. Attendance & Leave Management

- Maintain daily attendance records.
- Monitor biometric attendance and shift rosters.
- Process leave applications and maintain leave records.
- Prepare attendance reports for payroll processing.

4. Payroll Support

- Verify attendance, overtime, and leave records.
- Coordinate with the Accounts/Payroll team.
- Assist in salary processing.
- Maintain salary revision and increment records.

5. Employee Relations

- Address employee queries and grievances.
- Promote employee engagement initiatives.
- Organize employee recognition programs and celebrations.




- Ensure proper communication between management and employees.

6. Training & Development

- Coordinate induction and departmental training programs.
- Maintain training calendars and attendance records.
- Monitor grooming and service standards.
- Follow up with department heads regarding mandatory training.

7. HR Administration

- Maintain employee personal files.
- Update HRMS and employee records.
- Issue HR letters (Appointment, Confirmation, Promotion, Warning, Experience, Relieving, etc.).
- Maintain confidential HR records.

8. Employee Welfare

- Coordinate staff accommodation and transportation.
- Ensure proper duty meals and cafeteria facilities.
- Coordinate employee uniforms.
- Assist in organizing employee welfare activities.

9. Compliance

- Assist in PF & ESIC registration.
- Maintain statutory records.
- Support labour law compliance.
- Ensure documentation as per company policies.

10. Exit Management

- Coordinate resignation acceptance.
- Process No Dues Clearance.
- Conduct exit interviews.
- Coordinate Full & Final Settlement.
- Issue Experience and Relieving Letters.

11. MIS & Reporting

- Prepare Daily HR Reports.
- Prepare Recruitment MIS.
- Attendance & Leave MIS.
- Training MIS.
- Employee Turnover Report.
- Monthly HR Dashboard.
- Manpower Report.
- HR Analytics and Management Reports.

12. Coordination

- Coordinate with:
- Front Office
- Housekeeping
- F&B; Service




- Kitchen
- Engineering
- Security
- Finance & Accounts
- Purchase
- Sales & Reservation

Key Skills Required

- Good communication and interpersonal skills.
- Knowledge of HR operations and labour laws.
- Recruitment and interview coordination.
- MS Excel, Word, PowerPoint, and Google Sheets.
- HRMS knowledge (preferred).
- Robust documentation and record-keeping skills.
- Time management and multitasking ability.
- Problem-solving and conflict resolution skills.
- Positive attitude and willingness to learn.

Qualification

- MBA/PGDM in Human Resources or equivalent.
- Graduate with relevant HR experience may also be considered.

Experience

- 0–2 years: HR Associate / HR Coordinator
- Hospitality experience preferred but not mandatory.

- Timely payroll support.

- Accuracy of HR MIS reports.

- Employee satisfaction and grievance resolution.

Additional Responsibilities (Hotel & Resort Operations)

- Ensure staff grooming and hygiene standards.
- Coordinate staff accommodation and transportation.
- Monitor staff cafeteria quality and meal arrangements.
- Support seasonal hiring and campus recruitment.
- Assist during festivals, events, and high occupancy periods.
- Coordinate employee medical emergencies and accident reporting.
- Support audits and inspections.
- Perform any other HR-related duties assigned by the Management.

Pay: ₹13,000.00 - ₹18,000.00 per month
