Operation Theatre (OT) Manager

Job Summary The Operation Theatre (OT) Manager is responsible for overseeing the day-to-day operations of the Operation Theatre complex, ensuring the efficient delivery of high-quality surgical services while maintaining patient safety, regulatory compliance, and optimal resource utilization. The role involves managing OT staff, coordinating surgical schedules, ensuring equipment and consumables are available, and collaborating with surgeons, anesthetists, nursing teams, and hospital departments to deliver seamless perioperative care.

Success in this role is measured by productive OT utilization, adherence to patient safety and infection control standards, minimal surgery delays or cancellations, high clinical quality, and a positive experience for patients and clinicians. The OT Manager plays a critical role in supporting the hospitals surgical services and operational excellence.

Key ResponsibilitiesOT Operations Management

- Oversee the daily functioning of all Operation Theatres to ensure smooth and efficient surgical services.
- Plan and coordinate OT schedules in collaboration with surgeons, anesthetists, and nursing teams.
- Monitor OT utilization and optimize theatre efficiency to minimize delays and cancellations.
- Ensure timely preparation of operating rooms before every procedure.
- Coordinate emergency surgeries while balancing scheduled elective procedures.

Team Leadership
- Supervise, mentor, and manage OT nurses, technicians, attendants, and support staff.
- Prepare staff duty rosters and ensure adequate manpower across all shifts.
- Conduct regular team meetings, performance reviews, and training sessions.
- Promote a culture of teamwork, accountability, and continuous improvement.

Patient Safety & Quality
- Ensure strict adherence to patient safety protocols, including WHO Surgical Safety Checklist.
- Monitor compliance with infection prevention and control practices.
- Ensure proper patient identification, surgical site verification,



and safe handling of surgical specimens.
- Investigate incidents, near misses, and adverse events, and implement corrective actions.

Equipment & Inventory Management
- Ensure availability and proper functioning of OT equipment and surgical instruments.
- Coordinate preventive maintenance and calibration with the Biomedical Engineering team.
- Monitor inventory levels of surgical consumables, implants, and sterile supplies.
- Coordinate procurement to prevent stock shortages and minimize wastage.

Sterilization & Infection Control
- Work closely with CSSD to ensure timely sterilization and availability of instruments.
- Monitor OT cleaning protocols and environmental hygiene standards.
- Ensure compliance with NABH, biomedical waste management, and infection control guidelines.

Coordination & Communication
- Liaise with surgeons, anesthetists, ICU, wards, emergency department, laboratory, radiology, pharmacy, and CSSD for smooth patient flow.
- Coordinate with admission, billing, and front office teams regarding surgical cases.
- Ensure effective communication with patients and families regarding OT-related processes whenever required.

Compliance & Documentation
- Ensure complete and accurate OT documentation and maintenance of surgical records.
- Monitor compliance with hospital policies, legal requirements, and accreditation standards.
- Participate in internal audits, quality improvement initiatives, and accreditation activities.

Financial & Operational Performance
- Monitor OT operational costs and identify opportunities for cost optimization.
- Track OT utilization, turnaround time, cancellation rates, and other operational KPIs.




- Prepare periodic reports and present operational insights to hospital leadership.
- Support initiatives to improve productivity, patient satisfaction, and clinical outcomes.

QualificationsEducation
- Bachelors Degree with relevant OT experience.
- Masters Degree in Hospital Administration (MHA) or MBA in Healthcare Management is preferred.

Experience
- 5-8 years of experience in Operation Theatre management or perioperative services.
- Minimum 2-3 years of experience in a supervisory or managerial role in a multi-specialty hospital.

Skills
- Strong leadership and people management skills.
- Excellent planning, scheduling, and organizational abilities.
- Sound knowledge of OT workflows, surgical procedures, and perioperative care.
- Thorough understanding of infection control, sterilization, and patient safety standards.
- Knowledge of NABH/JCI standards and healthcare regulations.
- Strong communication and stakeholder management skills.
- Ability to manage emergencies and make quick operational decisions.
- Proficiency in Hospital Information Systems (HIS) and Microsoft Office.

Certifications (Preferred)
- Certification in Operation Theatre Nursing or Perioperative Nursing.
- NABH/Internal Quality Auditor training.
- Basic Life Support (BLS) and Advanced Cardiac Life Support (ACLS) certification.
