As a growing technology company, the HR Executive plays a key role in supporting business growth by delivering efficient HR operations and fostering a positive, high-performing work environment.
Role Summary: The HR Executive will support day-to-day HR and administrative activities across the employee lifecycle, including recruitment, onboarding, payroll support, employee engagement, HR operations, compliance, records management, and general administration. This role requires strong organizational skills, attention to detail, and the ability to coordinate effectively with multiple stakeholders.
Role & responsibilities
HR Operations
- Prepare and maintain attendance records, timesheets, leave records and monthly HR budgets.
- Support salary processing by preparing salary sheets and confirming Loss of Pay (LOP) and leave encashment details.
- Prepare HR reports, including attrition reports, Resource allocation reports, and other MIS reports.
- Maintain employee records, HR files, folders, and documentation in both the HRMS (GreytHR) and the physical filing system, ensuring accuracy, completeness, and proper record management.
- Prepare HR-related documents, including Offer Letters, Appointment Letters, Confirmation Letters, Salary Revision Letters, Incentive Letters, Service Agreements, Performance Evaluation Forms,
Relieving Letters, and other employee-related documents.
Recruitment & Onboarding
- Coordinate end-to-end recruitment activities, including campus hiring and online assessments.
- Source candidate profiles, schedule interviews, and coordinate with hiring managers throughout the recruitment process.
- Manage onboarding activities, including induction programs, ice-breaking sessions, welcome communications, welcome kit arrangements, ID card and access card coordination, and system access provisioning.
Offboarding
- Coordinate employee exit formalities.
- Support Full and Final Settlement (F&F;) documentation.
- Prepare gratuity claim forms, service certificates, and farewell arrangements.
- Ensure timely removal of employee access from all relevant systems.
Employee Engagement & Welfare
- Coordinate employee engagement initiatives and celebrations, including Sports Day, festival celebrations, CSR and other employee welfare activities.
- Send birthday, wedding anniversary, service anniversary, and festival greeting communications.
- Coordinate employee gifts, newborn gifts, wedding gifts, mementos, greeting cards, and cakes.
HR Compliance
- Prepare statutory HR documents, including Form V, PF registers, attendance registers, and holiday lists.
- Support background verification activities and respond to employment verification requests for former employees.
- Coordinate the renewal of employee insurance policies, including Group Mediclaim, Group Life Insurance, and Gratuity Insurance.
Administration
- Coordinate housekeeping timesheets and vendor payments.
- Verify caterer bills, vendor invoices, petty cash claims and admin purchase indents.
- Coordinate office administration activities, including breakfast, lunch, snacks, parking allocation, business cards, fire drills, and other administrative requirements.
- Manage the company's Amazon account for approved purchases.
HR Systems & Communication
- Manage and update the Leave Management System (LMS) and the company intranet.
- Update HR policies, leave records, holiday calendars, and employee communications.
Reporting & Projects
- Assist in salary surveys by formatting data and performing data segregation.
- Assist in preparing quarterly meeting presentations and reports.
- Support senior HR team members in HR projects and organizational initiatives.
Preferred candidate profile
- Bachelors degree in Human Resources, Business Administration, or a related discipline.
- 2 to 3 years of experience in HR Operations, HR Generalist, or HR Administration.
- Experience working with HRMS software, preferably greytHR.
- Positive knowledge of payroll inputs, employee lifecycle management, and HR documentation.
- Proficiency in Microsoft Excel, Word, and PowerPoint.
- Strong communication, coordination, organizational, and multitasking skills.
- High level of confidentiality, accuracy, and attention to detail.
