Role & responsibilities
- Prepare export documents: commercial invoice, packing list, shipping bill, bill of lading/airway bill, certificate of origin, and inspection certificates.
- Coordinate with CHA and customs: submit documents for customs clearance and resolve documentation queries.
- Book shipments: coordinate with shipping lines, freight forwarders, and transporters for vessel booking and container movement.
- Track shipment milestones: SI cut-off, gate-in, vessel departure, and delivery status.
- Ensure compliance: verify HS codes, export licenses, EPR requirements, and country-specific regulations.
- Prepare bank documents: LC documents, export invoices, packing lists, and other papers required for payment realization.
Preferred candidate profile
- Education: Bachelors degree in Commerce, Business Administration, International Business, Logistics, or a related field.
- Experience: 13 years of experience in export/import documentation, customs clearance, or logistics coordination. Experience in tiles, sanitary ware, packaging, or manufacturing exports is preferred.
- Documentation knowledge: Familiarity with commercial invoices, packing lists, shipping bills, bills of lading, certificates of origin, LC documents, and customs paperwork.
- Regulatory understanding: Knowledge of Incoterms, DGFT regulations, GST, customs procedures, EPR compliance, and international trade documentation.
- Technical skills: Proficiency in MS Excel, Word, email communication, and ERP/software used for shipment and documentation management.
- Communication skills:
Strong written and verbal communication skills in English and Hindi/Gujarati for coordination with buyers, suppliers, CHAs, shipping lines, and internal teams.
- Attention to detail: Ability to prepare accurate documents, identify discrepancies, and ensure error-free submission within deadlines.
- Organizational ability: Capable of handling multiple shipments simultaneously, maintaining records, and prioritizing urgent tasks.
- Problem-solving: Ability to coordinate with stakeholders to resolve documentation, customs, and shipment-related issues promptly.
- Personal attributes: Responsible, proactive, punctual, team-oriented, and able to work under pressure in a fast-paced export environment
