Role & responsibilities

- Material Receipt & Verification Receive incoming materials (chemicals, solvents, reagents, reference standards, glassware, consumables, packaging items); verify against purchase order, delivery challan, and Certificate of Analysis (CoA); record batch number, manufacturing date, expiry, and quantity in the inventory management system (Zoho Inventory)
- Storage & Segregation Store materials in designated areas (general store, flammable cabinet, cold storage, controlled temperature/humidity zone, quarantine area) as per MSDS/SDS and storage requirements; ensure proper labelling with material name, batch number, received date, and status (quarantine / approved / rejected)
- Inventory Management Maintain stock records in Zoho Inventory, perform periodic stock reconciliation, and ensure minimum/reorder level stock availability to avoid production delays
- Material Issuance — Issue materials to Production, Synthesis, and Testing laboratories against approved material requisition slips; record issuance quantity, batch details, and receiving department with full traceability
- Reference Standard Management — Maintain separate inventory for certified reference standards (CRS), primary standards, and working standards with batch-wise traceability, CoA records, storage conditions, and expiry monitoring
- Solvent & Chemical Tracking — Track solvent consumption (HPLC-grade, AR-grade, technical-grade), maintain solvent register with opening/closing stock, issue records, and coordinate timely procurement
- Packaging & Dispatch — Issue packaging materials (vials, ampoules, labels, cartons, desiccants)



for CRM filling/packing; support dispatch of finished CRM products with proper documentation, packing list, and shipping records
- Logistics Coordination — Follow up with vendors and service providers on deliveries, dispatches, and shipments; coordinate courier and freight services
- Documentation — Maintain all store records (issue slips, stock registers, return notes, rejection records) contemporaneously with date, time, and signature per ALCOA+ data integrity principles
- Vendor & Purchase Support — Raise purchase indent/requisition for materials reaching reorder levels; maintain approved vendor list and vendor qualification records in coordination with QA and management
- Housekeeping & Safety — Maintain cleanliness and organisation of store/warehouse areas; ensure safe storage of flammable, corrosive, and hazardous materials; follow fire safety and spill handling protocols; maintain temperature/humidity logs for controlled storage areas
- Audit & Compliance — Support internal and external audits by providing stock records, traceability data, and storage condition evidence; participate in annual physical stock verification and reconciliation; ensure compliance with ISO 17034 and ISO/IEC 17025 material management requirements

Preferred candidate profile

Requirements





- B.Com, BBA, or B.Sc from a recognised university
- 1–3 years of experience in stores, inventory, or warehouse management — experience in a pharmaceutical, chemical, or laboratory environment is strongly preferred
- Hands-on experience with ERP/inventory management software (Zoho Inventory, Tally, SAP Business One, or similar); proficiency in Zoho Inventory is a strong advantage
- Comfortable with computers; ability to maintain accurate digital records and generate stock reports
- Understanding of chemical storage and safety requirements (MSDS/SDS, flammable storage, cold chain) is preferred
- Strong attention to detail and ability to maintain meticulous, error-free records
- Good communication skills; functional proficiency in English (reading, writing, email correspondence) and Hindi/Gujarati for vendor interaction
