Executive Assistant

Location: The Calcutta Medical Research Institute (CMRI), Kolkata
Reporting To: Senior Doctor
Employment Type: Full-time
Work Base: Office, CMRI Hospital

About the Role

We are looking for an exceptionally organized, proactive, and detail-oriented Executive Assistant to support Senior Dr in managing his diverse professional commitments across clinical practice, academics, teaching, national and international collaborations, and scientific initiatives.

This role extends well beyond traditional executive support. The successful candidate will be responsible for ensuring the smooth functioning of Dr. professional office by managing his schedule, correspondence, meetings, travel, administrative priorities, and interactions with a wide network of healthcare professionals, academic institutions, industry partners, and collaborators.

The role also requires supporting various academic and scientific activities through documentation, communication, scheduling, follow-ups, and coordination with multiple stakeholders. The ideal candidate should be capable of managing multiple priorities with efficiency, discretion, and attention to detail in a fast-paced, high-performance environment.

Key Responsibilities

Executive Support

- Manage Senior Dr. calendar, appointments, meetings, and daily schedule.
- Coordinate clinical, academic, teaching, and professional commitments.
- Organize domestic and international travel, accommodation, and logistics.
- Draft and manage professional correspondence, emails, presentations, and reports.
- Prepare meeting agendas, minutes, briefing notes, and action trackers.
- Coordinate conferences, webinars, speaking engagements, and academic events.
- Liaise with hospitals, healthcare organizations, academic institutions, industry partners,



and professional bodies.
- Screen and prioritize communications and ensure timely follow-up.
- Maintain confidential records, documents, and correspondence.
- Anticipate scheduling conflicts and proactively manage priorities.

Academic & Scientific Support

- Assist with planning and execution of ongoing academic and scientific activities.
- Coordinate communication with collaborators, institutions, and external partners across India and internationally.
- Maintain documentation, records, trackers, and related administrative files.
- Assist with preparation and submission of presentations, manuscripts, abstracts, reports, and other professional documents.
- Coordinate meetings, discussions, and follow-ups with internal and external stakeholders.
- Support preparation of documents required for institutional and regulatory processes.
- Ensure timely completion of administrative and documentation-related activities.
- Maintain accuracy, confidentiality, and organized records across all assignments.

Candidate Profile

Education

- Bachelors degree in any discipline.
- Candidates with a background in Life Sciences, Biotechnology, Pharmacy, Healthcare, Management, or Healthcare Administration will be preferred.

Experience

- 3-5 years of experience as an Executive Assistant, Personal Assistant, Executive Office professional, or in a similar role supporting senior leadership.
- Experience in healthcare, hospitals,



academia, pharmaceuticals, consulting, or other professional services environments will be an advantage.
- Exposure to scientific or academic environments will be preferred.
