Purpose/Objective

The role is responsible for devising and implementing the Business Unit (BU) administration roadmap, including site-specific service plans, food & beverage (F&B;) management, and general facility operations.
This role ensures adherence to budgetary constraints, cost optimization, policy compliance, and service efficiency while maintaining high operational standards.

Key Responsibilities of Role

Strategic & Operational Planning: - Develop and implement the BU administration roadmap and site-specific service plans.
- Ensure alignment of site operations with the overall operating model and long-term strategic plans.
- Conduct periodic reviews of plans and drive necessary improvements.
Financial Planning & Cost Optimization: - Prepare and manage the site administration budget, ensuring alignment with financial objectives.
- Drive cost optimization initiatives, ensuring adherence to budgetary guidelines.
Service Management & Compliance: - Develop and implement an operating plan and framework for administrative services (facility & hard services).
- Oversee local transport, including company-owned vehicles, compliance, and operational efficiency.
- Oversee general administration services, including housekeeping, valet, and F&B.;
- Ensure adherence to Admin SOPs and secure approvals from HR for policy updates.
- Conduct periodic policy reviews to ensure alignment with organizational standards.
Asset & Inventory Management: - Track all site assets, ensuring proper registration, servicing, and compliance (including IT security assets).
- Implement an inventory management system for site operations, tracking supply, procurement, and FIFO-based expiry management.
- Ensure zero wastage and cost-effective inventory utilization.
Hard Services & Maintenance: - Oversee maintenance of lights, fire extinguishers, and AMC contracts, ensuring uninterrupted site operations.
- Implement best practices for facility management and upkeep.
Facility Management Oversight:



- Operational Supervision: Oversee all aspects of facility operations, including maintenance, repairs, and safety protocols, ensuring high standards of service delivery.
- Vendor Coordination: Manage relationships with external vendors and service providers, negotiating contracts and performance metrics to ensure quality service and compliance with organizational values Design Basis Report (DBR) and Project Management: - DBR Development: Assist in preparation of Design Basis Reports for new offices, experience centers, and corporate buildings, ensuring alignment with sustainability goals, user needs under the scope of FM and Administration.
Project Leadership: - Manage project planning and execution for new facilities, including timelines, resource allocation, budget management, and quality assurance, ensuring successful project completion within scope and budget.
Sustainability Integration: - Advocate for and implement sustainable practices in facility design and management; collaborate in the selection of technologies and systems that promote energy efficiency and reduce environmental impact.
- Administrative Functions Administrative Management: - Supervise the administrative functions, ensuring that office supplies, equipment, and services meet organizational needs and support operational efficiency.
- Resource Allocation: Manage resource allocation for administrative and facility projects, ensuring that teams have the necessary tools and support to succeed.
Project Management for New Developments: - Project Planning and Timeline: Develop comprehensive project plans for new offices,



experience centers, and corporate buildings, detailing project scope, timelines, milestones, and resource allocation.
- Budget Management: Ensure that expenditures align with financial forecasts and identifying opportunities for cost savings without compromising quality or sustainability.
- Cross-Functional Collaboration: Coordinate with internal teams and external vendors (architects, engineers, contractors, I.
T team & Security) throughout the project lifecycle, facilitating effective communication and collaboration to meet project goals.
- Quality Control: Establish quality assurance processes to monitor project deliverables against the design basis report and organizational standards, ensuring compliance with technical and safety specifications.
- Sustainability Performance Monitoring: Implement metrics to assess the sustainability performance of the new developments, tracking energy usage, materials efficiency, and indoor air quality post-occupancy.
- Training and Transition: Facilitate the transition process for employees into new spaces, including providing training on current technologies and operational procedures, to ensure smooth onboarding experience.
Reporting: - Regularly report project progress to the senior management and other stakeholders, highlighting successes, challenges, and actionable insights to inform future projects.

Qualifications and Experience

Education Qualification: B.
Tech / B.
E.
in Civil, Electrical, or related field or Bachelor’s in Hospitality Management.
Work Experience (Range of years): 7-10 Years Preferred Industry: Experience in site administration, facility management, or real estate administration.
Strong understanding of local regulatory requirements, labor compliance, property tax, and fire safety norms.
