Job Summary
We are seeking a dynamic and result-oriented Manager / Senior Manager Administration to oversee the complete administration function across the organization. The candidate should possess robust leadership capabilities with proven experience in setting up new offices, managing large-scale administrative operations, infrastructure projects, vendor management, facilities, and workplace experience.
Key Responsibilities
- Lead and manage the end-to-end administration function for corporate and branch offices.
- Plan and execute new office setup projects, including site selection support, office fit-outs, infrastructure planning, furniture procurement, IT coordination, and workplace readiness.
- Manage office expansion, relocation, renovation, and refurbishment projects within defined timelines and budgets.
- Oversee facility management, housekeeping, security, transport, cafeteria, maintenance, and office services.
- Develop and implement administration policies, SOPs, and workplace standards.
- Manage annual administration budgets, cost optimization initiatives, and expense control.
- Identify, negotiate, onboard, and manage vendors, service providers, and AMC partners.
- Ensure compliance with statutory requirements related to administration, fire & safety, building maintenance, and workplace regulations.
- Coordinate with internal stakeholders including HR, IT, Finance, Procurement, Legal,
and Business Heads for seamless administrative support.
- Drive employee engagement initiatives related to workplace experience and office infrastructure.
- Monitor service levels through defined KPIs and SLAs and ensure high-quality vendor performance.
- Handle asset management, office inventory, space utilization, and infrastructure planning.
- Lead crisis management, emergency response planning, and business continuity support related to facilities.
Desired Candidate Profile
- MBA / Graduate with specialization in Administration, Operations, Facilities Management, or related discipline.
- 8-15 years of relevant experience in Corporate Administration and Facility Management.
- Proven experience in executing current office setup, greenfield projects, office expansion, and relocation.
- Strong knowledge of facility operations, procurement, vendor management, lease coordination, and infrastructure planning.
- Experience in managing multiple locations will be an added advantage.
- Excellent negotiation, budgeting, project management, and stakeholder management skills.
- Strong leadership abilities with experience in handling administration teams.
- Proficient in MS Excel, PowerPoint, ERP/Admin Management Systems, and reporting tools.
